You should use a University-issued device for work, as it is equipped with IT-installed security measures, licensed software, and standard configurations that ensure compliance with University policies. Personal devices (BYOD) should be used for personal activities as much as possible. A separate BYOD policy will be issued for guidance on their use in work settings.
Are antivirus services like McAfee, Norton, or PAFI enough for personal devices?
BYOD security requirements will be outlined in the BYOD policy.
If I use my personal device for work, how will the University help secure it?
University-issued devices must be used for University work. Personal devices (BYOD) should only be used if your University-issued device is unavailable due to damage or technical issues. In such cases, IT can provide recommendations on securing your personal device while it is temporarily in use. If you wish to return your University-issued device, an assessment will be conducted to determine the reason for the return and whether it is warranted.
Are grant- or donation-funded laptops/desktops covered by this policy?
Yes.
Can DITS recall grant/donation-funded devices?
Yes, unless the grant contract/MOA states the device must be returned to the grantor. In such cases, DITS will monitor the device until the condition is met.
If the funding agency audits grant-purchased equipment, do we still surrender it to DITS?
DITS will coordinate with the funding agency to comply with both University policy and grant conditions.
How long before I need to return my laptop?
You will need to return your laptop once it has been refreshed and replaced with a new device. DITS will notify you at least 10 days before the new device is delivered so you can back up and clean up your files.

Can a device be reassigned within the unit or given to a colleague?
Yes, but it must go through the asset transfer process and be coordinated with DITS for proper approval, tracking, tagging, and assessment. Direct handovers without DITS involvement are not allowed.
Can a new hire use their predecessor's laptop?
Yes, a new hire can use their predecessor's laptop if it meets policy requirements, but they must first go through the asset transfer process.
Can probationary or non-permanent employees be issued laptops?
Yes, following standard issuance guidelines.
What if a new hire joins after the budget deadline for laptops?
The unit must coordinate with DITS for options based on available stock.
If my unit funded the laptop, do we get a budget credit when we return it?
No. All devices are considered University-funded assets.
Can I request a laptop outside the standard specifications?
Requests for higher-tier devices must be justified and approved.
Can probationary staff request higher-tier laptops?

What if a unit buys a higher-tier device but stops using it?

When will approved laptop purchases be released?

What happens if laptops for new hires are budgeted but not yet delivered?
DITS will coordinate delivery timelines with Procurement.
What happens if laptops for new hires are not budgeted but they are needed immediately?
DITS will issue a service unit, and the department can budget for the new laptop in the next fiscal year.
What happens if my University-issued laptop is lost or damaged?
Liability will be determined according to the policy and circumstances.
