Active-KY - Terms and conditions

Lesson breakdown:

Private: 1 student in the lesson
Semi-private: 2 students per lesson
Small group: 3 students per lesson
Learn to swim groups: up to 4 students per lesson
Baby swim: up to 6 students per lesson

Lesson payments:

All payments are to be made in advance for the entire term.
Payments are to be made 7 days prior to the start of lessons, if payment is not received 7 days prior your space will be forfeited.
Payments must be made via Scotiabank transfer before commencing any classes.
Your lessons are not confirmed until payment is received.
Cash payments can only be accepted from existing clients. If you prefer to pay with cash, payment will have to be made at the end of the previous term.
Cash payments are to be enclosed in an envelope clearly marked with the student's name, class time and day.
All sessions are to be completed within the course of the term they are booked.
There are no term transfers or refunds.

Cancellation of lessons:

If we are given at least 24 hours notice of cancellation we will offer one catch-up lesson per term for those who have booked and paid for a full term of lessons.
Without 24 hours notice we will not be able to offer a catch-up lesson.
Group catch-up lessons may not be the exact lesson type booked and the group may be mixed ages and slightly different abilities.
Lessons do go ahead in the rain - we will cancel if the weather conditions make it unsafe for lessons (I.e. lightning, strong winds) or if the water temperature drops below 76F.
The decision to cancel the lesson due to weather will only be made at the lesson time, if you decide to cancel your lesson before and the weather is fine to swim at your lesson time, the lesson will not be caught up.
Any lessons cancelled by the instructor due to weather or water temperature will be rescheduled.
If a lesson has progressed to at least halfway and the weather changes, the lesson will be charged at the full rate and not rescheduled or credited.
Please wait until you hear from your instructor that a lesson is cancelled. If you are not contacted please assume that the lesson will go ahead as scheduled.
Lessons missed due to hurricanes, acts of nature or exceptional circumstances which are out of the control of the company will not be rescheduled or refunded.
Any lessons missed due to holidays you have booked during term time will have to be made up during the course of the term.
Your instructor will message you after 5 minutes if you are late and wait 10 minutes before leaving for the next lesson.
Lessons cancelled due to weather will be prioritized when scheduling catch-up lessons.
If a catch-up lesson is booked and then subsequently cancelled at anytime the lesson

will be forfeited.

Pool conditions and access:

If you’re hosting lessons at your pool, we must still be able to access and use the pool on the scheduled lesson day and time, even if you are not present or can’t make your lesson.
Please ensure your pool is well-maintained and clean for the lesson. Any lesson which needs to be cancelled, within 24 hours, because the pool is not in a good condition for swimming will not be rescheduled.
If we are unable to use a pool for a lesson with notice, an alternative location will be provided. If no notice is given and we can’t use a pool, the lesson will not be rescheduled.

General:

All terms will be a minimum of 10 weeks
TERM 1 : September - December TERM 2 : January – March TERM3: April – July
Some images of your child may be taken throughout the course of the term to be used on social media or for marketing
If you do not wish your child’s picture to be used on social media or for marketing, please let the instructor know on the day they bring their camera
Coaching will continue throughout the year, including public holidays, unless notification is received from your instructor that no lessons will take place on those days.
Swimmers will be added/removed from semi-private and group lessons at the instructor’s discretion.
Please complete the registration form and send it back to your instructor as soon as possible.
