Records Management

I mentioned during the retreat that I engaged a company earlier this year to do a records management assessment of all of our records. We have a variety of systems and a backlog of paper to manage that can be archived, filmed, scanned or purged (or some combination of those alternatives).

Part of the catalyst for this work was Community Development which has a variety of sometimes duplicated records across the third floor, including the old shower room. One of the data points resulting from this analysis is that we have approximately 7 tons of paper that can be removed from Town Hall.

We will begin this process later in the year -- a combination of consultant services on site, staff work, new materials and purging. A staff suggestion was closing to the public for a day and spending all of our time uninterrupted purging and decluttering. This has been done in the past and the staff members who participated found it valuable. So, I am closing the Town Hall offices on August 17 for the staff to focus on decluttering and records purging. It felt like a midweek day in the middle of August would pose the least inconvenience to the general public).
