Join us for education, empowerment, networking, or as a way to connect with others on a similar journey, you will leave with a renewed understanding and a refreshed motivation to End NF. The atmosphere will be energetic, interactive, and enriching with customizable agendas and access to experts. No matter what life stage you are in or where you are along your NF journey, you will find content relevant to your individual situation.
Anyone can attend! Volunteers are able to attend the NF SUMMIT with sponsorship if they submitted a 2022 Volunteer Engagement form and have received a sponsorship award to attend in 2023. Additionally, volunteers are able to attend as self-pay.

Flights/Travel:
Question: Flight prices seem very high right now. When is the best time to buy?
Answer: Use sites like Kayak.com or Travelocity.com where you can set parameters around the schedule you need, nearby airports and where you can set up alerts for rising fares. Kayak also gives you the price with taxes and fees. Be careful with ala carte sites that lure you with low fares and then don’t allow carry-on baggage; charging hefty sums for checked bags. Question: When should I plan to arrive and depart?
Answer: Arrival should be on Wednesday, June 21, 2023, prior to 3 PM to participate in the in-person VLC Round Table at 3:00 PM and subsequent CTF Program Breakouts.
The ideal departure date would be Sunday, 7/25/23.
Hotel Reservations:
Question: If I will be sharing a room, but with a non-sponsored attendee, who will make my reservation?

Answer: All circumstances require that you make your own reservation and, where applicable, submit your receipt for reimbursement (up to the allowed amount) after the event. If you are sharing a room, only one of the occupants needs to make the reservation, each sponsored attendee will need to submit for reimbursement. Question: If I extend my trip to the day before or after the conference, will I be able to secure the conference room rate for the additional days?
Answer: Yes, you will be able to take advantage of the conference room rate for the day before and after the conference (if the block on the extra nights hasn't been filled when you reserve) however, you will not be able to submit expenses for those nights.
Reimbursements: Most reimbursement questions can be answered by reading the Sponsorship Guidelines document.
Question: How do I submit my reimbursement and when?
Answer: The reimbursement form is linked above. All reimbursements must be submitted through the form with a receipt (PDF, jpeg or screenshot) for each reimbursable expense and should be submitted no later than August 21, 2023. You may submit the reimbursement for airfare as soon as your flight is booked and paid for, however, hotel reimbursements can only be submitted AFTER the event.*
Question: Can I submit mileage receipts?
Answer: If you are planning to drive, you can submit mileage and self-parking receipts.
Question: Can I seek reimbursement for the conference registration fee?
Answer: Yes, there will be a conference fee and you are able to submit up to $125 (early bird registration fee) for reimbursement so long as your total reimbursements do not exceed your award amount.

NF SUMMIT Registration:
Question: Do I need to register for the NF SUMMIT?
Answer: You will need to register for the NF SUMMIT by March 31, 2023, to take advantage of Early Bird Registration. Register using the appropriate ticket type (Adult, Jr. Board, etc.). If you are registering additional guests and family members, you can add them to your registration. Registration is reimbursable up to $125 up to your stipend amount of $750/$500 (inclusive of all reimbursable expenses: travel, hotel, registration)
Event App/Hybrid Experience:
Question: Do I need to register in the app if I will be attending in person?
Answer: Yes! We will be using the app with both in-person and remote attendees to drive engagement, share content, promote networking opportunities and so much more! If you don't use the app, you will miss out on so much of the experience.
Question: How do I register in the app?
Answer: After your NF SUMMIT registration, about a month before the event, you will be guided to the Whova App and once in the app, you will be directed on what to do and how to set up your profile to begin engagement.
Self-Pay Attendance:
Question: I did not qualify for sponsorship to the NF SUMMIT this year, but I would like to attend at my own expense. What do I need to do?
Answer: Welcome! We would love to have everyone affected by NF at the conference. Please let us know as soon as you have decided to attend using the RSVP form here and you will be looped in with all of the information that you need.

Communicating the Mission will focus on equipping our volunteers to speak with confidence and authority about the mission and direction of the Children's Tumor Foundation research initiatives, priorities for clinical care, and much more. In this session you will hear about NF research from our Chief Scientific Officer, Salvatore LaRosa and CTF President, Annette Bakker and learn about CTF's strategy and focus for Clinical Care, from NF Clinic Network Manager, Heather Radtke. Understand how the science connects to the human story and how you, as a CTF ambassador, can communicate this to others.
The 2021VLTC will be held in an engaging and dynamic virtual format for the safety and consideration of all involved. Although our first virtual training conference was deemed a huge success by all who attended, we are confident that the 2021 event will take the experience to the next level.
Join us for one session or both. Bring a friend (If you know of other advocates in the community who have not yet joined the CTF Volunteer team, please let us know so we can invite them too.)
We are eager and excited to continue this much anticipated annual training event no matter what the world throws our way and we hope you will join us!"

After careful deliberation, we have made the difficult but right decision to make the VLTC 2020 a virtual conference. We are doing this to ensure the safety and wellbeing of our most important assets--you and your families. We are working very hard to create an interactive and fun online VLTC that will give you something hopeful and exciting to look forward to this year.
The traditional agenda for the conference is a combination of workshops and leadership training to enhance the skills of Foundation volunteers by providing necessary tools to participate in CTF National Programs and be advocates and ambassadors for the Foundation.
Our Virtual VLTC will be no different. It will include networking opportunities with other volunteers from around the country, a variety of topics and training sessions, small group breakouts, social gatherings, panel discussions and much more!
Additionally, our VRAs (Volunteer Recognition Awards) will be live for everyone to attend.

Hotel Reservations:
Question: I am planning to arrive on Wednesday, but the link to book the hotel is not allowing me access to the group rate and/or tells me there is no availability. How do I book my room?
Answer: The event was planned with the intention that the majority of people would be arriving on Thursday, therefore the room block is only set up for Thursday through Sunday. Since we are requesting VLTC attendees to arrive on Thursday, your reservation will show a rate of $259 for Thursday, but it will be adjusted to $179 (for VLTC attendees only) before check out (the hotel will average the rate over the three nights when you book, so it make look like this initially: $206 p/night = $159+$159+$259/3). If you wish to arrive even earlier or stay beyond Sunday, you may need to call the hotel yourself to make the reservation. Be aware that the group rate will be $259 (up until the block is fully booked) and will be higher for nights outside the block. If they have already booked the number of rooms they have allotted for that rate on a particular day, the reduced rate may no longer be available.

The Children’s Tumor Foundation brings members of the Volunteer Leadership Council together annually for training, camaraderie, and in celebration of their many achievements. In addition to attending the Leadership Council Training Conference, members of the Council will also attend the Patient Centered Outcomes Research (NF-PCOR) Forum, in Atlanta, GA.
The agenda for this conference includes a combination of workshops, training, and collaboration to enhance the skills of Foundation volunteers by providing the necessary tools to participate in the National Programs and be advocates and messengers of the work of the Foundation
There are two ways to attend the VLTC and NF Forum in Atlanta. If you have submitted a 2017 Volunteer Service Questionnaire and have met Recognition Criteria, you can be invited as a sponsored guest of the Foundation. If you did not submit a survey, or you did submit and have not met the criteria for sponsorship for this year, you may attend at your own expense.*
In either case, it is important to note that the training conference will be on: Friday, 5/4/18 from 8:00 AM to 4:00 PM. The IKAF 5K on Sunday is optional, but strongly encouraged, for anyone who needs to travel early.
The Patient Centered Outcomes Research (NF-PCOR) Forum will be May 4-6, 2018 in Atlanta, GA.

Question: Are meals included? If not, is that something reimbursement can be used on?
Answer: The conference will include most of the meals. There is one dinner that will be provided on Saturday evening and the other two nights will be at your own expense, although we will potentially be serving appetizers on Thursday and Friday; we are still working through those details. Meals are not a reimburseable expense.
