Grant Process
How does the grant work?
You will use your Fiscal Sponsor's money to make purchases for your project.
You will submit the correct required documentation for your purchases.
YEF will reimburse your Fiscal Sponsor for the purchase.
Reimbursement System & Process
Every 5th of the month, the project youth leaders submit receipts and other back-up documentation to YEF staff for the previous month. (January documents due on February 5th)
If done correctly, FS should receive their reimbursement by the end of the following month
Budget Modification
Because things often change, grantees will have the opportunity to update their budgets if needed.
To initiate the budget modification process, projects will:
reach out to schedule a zoom meeting with a YEF Adult Staff member
budget modification will be submitted by adult staff member
wait for budget modification approval
pause spending
receive confirmation for their updated budget
Modifications to the budget will neither decrease or increase the total granted amount.
If granted funding, your project is expected to:
- Maintain communication:
Grantee teams (including the Adult Ally and Fiscal Sponsor Representative) must be responsive to YEF communication in order for grant functions to run smoothly.
A barrier to being able to reach a grantee can result in reimbursement delays for the Fiscal Sponsor organization.
- Submit Documents on Time:
The current reimbursement timeline for Fiscal Sponsors is 1 month. Any delays in the timeline posted above will delay reimbursements for that organization.
Reimbursement Reports - Documentation for purchases made in a given month.
Social Content - Media of the project in action. Photos and videos may be used in YEF marketing.
Surveys - Pre/post surveys that help us track our impact.
- Attend:
Orientation - In person 3.5 hour event hosted by YEF. Grantees will learn more about their grant requirements, responsibilities, and meet other grantee projects.
Initial Spending Reimbursement Report (ISRR) - Virtual 1 hour meeting with one of YEF's adult staff to work through and review a project's first reimbursement report.
Project Visit - Projects will host a day for YEF staff (Community Funders and/or adult staff) to see the project in action.
Grantee Celebration - In person event hosted by YEF to celebrate all projects that received funds during the year. Project teams can showcase their work and network with other youth in the city.
