We must understand that this is not our own personal vacation. This is a Music Department Trip with many students participating.
We expect that all students and parents read through this material and familiarize themselves with the rules and expectations so that this trip will be enjoyable and future trips will be possible.
1. All school and Board of Education rules and policies are in force whenever students participate in a school sponsored event, whether on or off campus. Therefore, if a particular behavior is forbidden in school, it is also forbidden on this trip. Smoking, drinking, the use of drugs, insubordination, failing to attend events as scheduled, committing pranks, disturbing other hotel occupants can all create significant problems. Students must understand that they face disciplinary consequences if they misbehave. If the situation is severe enough, students may even be sent home from the trip at their parents’ expense, followed by additional consequences as deemed appropriate by the school administration. Parents should be aware that they are responsible for their child's behavior and in the event of serious misconduct; the parent will be expected to transport the child home.
2. All students must abide by curfew/lights out each night. Students will be required to be in their own room 30 minutes after arriving at the hotel on each evening night. Curfew will be determined by the music directors. Chaperones and dedicated security staff will patrol the hallways throughout the evening. Except for an emergency, students may not leave their rooms without the express permission of Mr. Giardina or Mrs. Sperry until it is time to report to breakfast the next morning. Any students who violate this rule face disciplinary consequences that could include being sent home.
3. No student is allowed to have alcohol or illegal drugs of any kind in his or her possession. The unauthorized use or possession of drugs, alcohol, illegal substances, etc., is strictly forbidden during this trip and all music department functions. Any student who violates this rule will be sent home immediately. This also applies to all occupants of any room where these substances are found.
Students must understand that this is a school function. All school regulations and disciplinary actions regarding drugs or alcohol use will be enforced when we get back from our trip.
Students who have an epi-pen, diabetic supplies or inhalers can self-carry with the correct Doctor's Order filled out and turned into the school nurse. For other Prescription and Over-the-Counter medication, the policy now states that students can also carry and self-administer these as well as long as the correct Doctor's Order is filled out for each medication. Please see the webpage regarding Medications. Controlled Substances can not be carried by a student and will remain with the directors or the nurse who accompanies our group.
4. All students will be required to attend all scheduled activities, including breakfast. Students may not leave group activities without the express consent of the band and/or choral director. Students who go missing may be sent home.
5. All chaperones shall have complete jurisdiction over all students on the trip and shall be treated respectfully at all times. All participants (students, staff, volunteer chaperones) understand that this contract is intended to establish a framework for managing student behavior and that no one can anticipate every possible situation. Therefore, students attending this trip and parents sending their children must agree that chaperones will retain authority to do what they feel is needed given the specifics of any particular circumstances.
6. Any damage to the bus or the hotel is the responsibility of all participants and will result in liability to the group or to the specific individual(s) when apprehended.
7. When any student is in a room not assigned to him or her, the door must be kept fully open and there must be at least three people in the room. Students who do not abide by this rule will have visiting privileges revoked and may face other discipline.
8. Students are not allowed to be in rooms of anyone not affiliated with the Sheehan Music Department Travel Group. Similarly, people not connected with the Sheehan High School Music Department Travel Group are not allowed in any of our group’s rooms. This includes parents and friends who are not chaperones.
9. Students are to stay in groups of two or more at all times during which activities are not scheduled. In particular, students should not go to the hotel pool alone.
10. The noise level in all rooms, hallways and common areas must be kept to a minimum. Hazing or boisterous behavior is not permitted. Instruments are not to be played in the hotel rooms. There is a noise curfew posted by the resort that must be followed. Video game systems are not allowed.
11. Students are required to obey all posted rules, regulations, procedures, and other warnings posted by the hotel staff.
12. All luggage and instrument cases must be delivered to the school Saturday, March 22, 2025 11:00 AM to 1:30 PM so it may be inspected prior to being packed on the truck. No student will be allowed to carry an uninspected bag. Any student who refuses to allow his or her luggage to be inspected will forfeit his or her opportunity to participate in the trip.
13. Injuries are to be reported to a chaperone and the band and choral director immediately.
14. In the event that any student violates these rules, the supervisors and chaperones have the right to notify a parent or guardian and request that they appear to take charge of their child or send the student home via available commercial transportation. The parent or guardian will be liable for these expenses.
