POSTER PRESENTATION DETAILS
Due to the hybrid nature of the event, along with the live poster session at the workshop venue, we will have a live videoconferencing (teams/zoom) connection for the poster session. There will be online breakout rooms, one for each poster, for the online audience to interact with the poster authors.
In-person and online-only presenters can use the soft copy of the poster (required!) when discussing your poster with the audience in the online breakout rooms. You may also refer to other material, e.g., showing live demos (in-person or online), other slides, papers, videos, etc., but only if necessary.
In-person Presentation
The physical posters will be put up in the first break and remain up until the end of the poster session workshop. The poster authors are required to be next to their posters only during the afternoon poster session. At other times, they can choose to be around the poster as well.
Poster panels will be made available at the workshop, with the size - 210cm H x 90cm W
You have a choice of presenting the poster in either of three modes: online only, physical poster only, or both. It is highly recommended that you choose the “both” option, which will satisfy the online as well as in-person audience. Let us know the choice by this choice by the deadline.
In “both” mode, poster authors would have to be online in the breakout room and stand next to the poster simultaneously.
The format of the poster is up to the authors – there is no standard template. Posters are usually A0 size. Poster stands will be provided but you need to print and bring your poster.
Live demos (or videos of demos) with the posters are most welcome!
Remote Presentation
The online presenters will only present your poster in online mode through the respective breakout rooms. The soft copy of the poster should be shared in the breakout room to begin with.
SPOTLIGHT VIDEO DETAILS
As was notified earlier, each poster will have to be presented as a 3-min "spotlight" at the start of the poster session. To facilitate the flow of the workshop due to its hybrid nature, and in the interest of time, it has been decided that the poster spotlight presentations will be done using pre-recorded 3-min videos only! You can use the IROS 2022 video format to record the video - https://iros2022.org/contributing/presentation-video-and-graphical-abstract-uploading/. (The page also gives useful instructions for using zoom to record videos.)
The format of the spotlight video presentation, number of slides, etc., is up to the authors – there is no standard template provided.
The videos should be max. 3-min long. Longer videos will be cut down to 3-mins. There is no restriction on file size.
The videos should be mp4 format and have filename “XR-ROB2022_Firstname-Lastname.mp4”, with the full-name of first author.
The videos should be uploaded to your personal spaces (google drive, wetransfer, onedrive, etc.) and the downloadable link should be emailed to us at helenoleynikova[at]gmail(dot)com and vicarios[at]iit(dot)it.
The spotlight videos will be shown as a single continuous sequence at the start of the poster session. The poster authors (online or in-person) will not be involved during the spotlight presentations - only the videos will be shown, online and projected in the room. Immediately after the spotlight video sequence finishes, the poster breakouts and physical poster session will begin.

If you would like that we host the link to your spotlight videos on the workshop page (similar to the abstract pdfs), then they need to be made public, i.e., uploaded on a public channel (youtube, vimeo, etc.). Please send us that link along with the downloadable video link.
Please note – hosting the spotlight videos publicly on the workshop page is NOT a requirement. The primary purpose is for them to be played at the beginning of the poster session.
POSTER WINNER CRITERIA
The poster competition will be adjudicated by the workshop organizing committee (org-comm) itself. The criteria are two-fold:
Value of 50% is given to the submitted extended abstract – the size of the contribution (major / minor), relevance to the workshop topic, technical quality (literature, evaluation, thoroughness of presentation, etc.).
Value of 50% is given to the presentation on the day of the workshop, including but not limited to the quality of the technical poster, the spotlight presentation, the live / recorded demo (if any), responses to questions / discussions, being able to communicate the main idea of the poster clearly, and contribution to advancing the state-of-the-art.
In case of conflict-of-interest (e.g., posters from the research teams of org-comm members), the adjudication will be handled in a way that ensures that the org-comm member in question is not involved in the decision on the particular poster(s). An external referee may also be invited for adjudication, if needed.
