Our Goal:
The goal of the Westgate PTA Room Rep is to be the liaison between their classroom teacher and the students' parents.
The Westgate PTA Room Rep's role is to send the classroom parents PTA updates and information, as well as planning and hosting the two classroom holiday parties.
Westgate PTA Room Rep Responsibilities:
Typical room rep responsibilities are included below. Please reach out to your teacher(s) to discuss their individual expectations and needs.
Responsibilities throughout the year may include:
Plan the Halloween party in October and recruit up to four parent volunteers.
Plan the Valentine's Day party in February and recruit up to four parent volunteers.
Assist your child's teacher with setting up volunteer schedules (if needed).
Welcome and mentor any new families in your classroom during the school year.
Assist your teacher with other classroom needs as requested.
Room Reps and/or Parents can decorate their child’s classroom for the Halloween Classroom Party Decorating and the Valentine's Day Classroom Party Decorating.
All classrooms need to be decorated.
If the room reps and/or parents in those classrooms are not able to come in on those days, please contact Shelly Daley so we can find other parent volunteers to help that day.
There is no need to check in with the office since the party will be after normal school hours, but everyone needs to enter and exit through the front door.
All volunteers can go straight to their child’s classroom.
Simple decorations are recommended.
Ask your classroom teacher if there are any specific decorations that they do not want in their classroom. (For example, some teachers might not want streamers or anything hanging from the ceiling, etc).
Non-Westgate children (younger siblings) are not permitted inside Westgate for parties or room decorating.
Your Westgate student is allowed to decorate the room, but they should be supervised.
Please use easy to clean decorations and supplies (for example, no glitter or confetti).
No balloons or latex decorations allowed.
No food allowed of any kind to be brought in or used at the party.
Parents are not allowed to give gifts to the classroom students that are addressed to be from their own child.
Classroom Budget:
The PTA has included a line item in the budget for Room Reps. Each classroom will have a $50 budget for both parties. It is encouraged to make a list of any party decorations, items for games, and prizes that are needed for the two parties—and then send out a SignUpGenius to your classroom parents.
Reimbursement:
Please submit your receipts to Colleen Crandall (westgateptatreasurer@gmail.com) for reimbursement. Please do not forget to use the attached Tax-Exempt Letter and fill out the PTA Expense Voucher. You can be reimbursed via check or Zelle.
Approved items for reimbursement would be: party games, craft activities/supplies, party prizes, room decorations, etc.
Store suggestions to check out are: Dollar Tree, Michaels, Target, Oriental Trading Company, Amazon, Five Below, etc.
