Executive Board
Responsible for leading the PTA toward specific goals chosen by the board. They oversee and coordinate the work of an executive board so that the PTA can run smoothly. Creates agendas for and is presiding officer at Board and Association Meetings. Serves as the official contact, communicator and representative of a PTA. Serves as ex-officio member of all committees; except the nominating committee. Works with other PTA leaders to connect families, school and community to support student success. Coordinate and present to the community at all PTA meetings. Manage the Executive Board email communications and Mail Chimp.
Oversee all events that bring money into the school. Develops and implements a fundraising plan for each chair to achieve short-term and long-term goals. Develops annual fundraising calendar and budgets during the summer months, prior to the start of the school year. Identifies, cultivates and solicits prospects and donors. Responsible for setting fundraising goals and organizing and implementing all fundraising activities at the school. Handle the submission of the Fundraising Form & Building Use Forms to the School Principal. Responsible to managing the chair of all fundraising events. They are responsible to ensure that chair captures all expense and profits for each fundraiser and that those documents are sent to the treasurer. It is the responsibility of VP to create promotional material/flyers and post to all social media sites. They are responsible for maintaining and organizing the inventory in the storage shed.
Oversee the various programs of the PTA that fall under hospitality, including managing the Hospitality Chair. They coordinate and help set up the onsite school assemblies, school dances and offsite field trips. Outreach and serve as a vendor liaison (i.e. prudential center, Metlife Stadium, Bulldog) to coordinate fundraising events, respond to community inquiries and ensure that all documents showing expenses and profits are given to the treasurer.
Is the authorized custodian, alongside the PTA president of all funds of the PTA. Their duties include keeping financial records and preparing reports to comply with State PTA policies as well as local, state and Federal laws. Responsible for retaining receipts and remitting payment to all vendors. Responsible for collecting documentation on all expenses versus income received on all fundraisers from the chair. Prepare and present the budget at PTA meetings. Responsible for maintaining and providing cash boxes and 4 Square’s (Credit Card Machine) for all events.
Responsible for preparing notices, agendas, sign-in sheets and materials for distribution for the PTA. Prepare the monthly newsletter for the PTA president to review and edit prior to releasing through Mail Chimp. Handle email communication releases approved by the PTA President.
Keeps an accurate, concise, permanent record of proceedings at all PTA Board and Association Meetings. Responsible for recording minutes at all PA/PTA meetings, preparing minutes of each PA/PTA meeting, and reading and distributing copies of the minutes at the next PA/PTA meeting.
