The SAPA Executive Committee is responsible for the day-to-day operations of SAPA in compliance with SAPA bylaws and school policies. All terms of office begin after the annual meeting in May for the following year. Terms are for one year, although the president-elect and junior liaison positions often imply two year commitments, in that the president-elect typically assumes the role of president at the end of the first year while the junior liaisons generally become the senior liaisons for their divisions. All members of the executive committee are expected to attend general membership meetings, as well as monthly executive committee meetings.
President - The President presides over SAPA meetings; acts as the liaison between SAPA, the Board of Trustees, and administration; serves as an ex-officio member of all committees; and coordinates the work of the officers and committees of SAPA.
President-elect - The President-elect performs the duties of the President in case of absence or disability; serves as an ex-officio member of all committees; and acts as the SAPA liaison to other parent organizations within the school. The President-elect is typically elected President for the following year.
Secretary - The Secretary records the minutes of all executive and general meetings and acts as an internal SAPA "Sunshine Coordinator", coordinating messages and thoughtful acts to SAPA members in time of celebration or concern.
Treasurer - The Treasurer maintains financial records for the fiscal year, presents a financial statement at each executive and general meeting, presents a full report at the Annual Meeting; acts as a liaison to the Business Office; and, with the assistance of the Executive Committee, prepares an annual budget for the following year.
VP of Communication - The VP of Communication facilitates SAPA communication and publicity related needs with the SA Marketing and Communications department, updates the SAPA MySA Resource page, ensures SAPA Events are listed on the SA Calendar, creates Google forms as necessary, and oversees the SAPA Google Drive.
Parliamentarian - The Parliamentarian assists the President in keeping the meetings moving in accordance with Robert's Rules of Order and SAPA's bylaws and standing rules, provides each Executive Committee member those rules, and schedules and supplies refreshments for meetings and luncheons.
Junior and Senior Divisional Liaisons - US, MS, and LS Liaisons meet monthly with their respective Division Heads to discuss upcoming needs within the division (including Sunshine Coordination for faculty/staff) where SAPA can be of support, as well as viable concerns related to the division. The Senior liaison is responsible for submitting a monthly written report following this meeting and communicating updates to the Executive Committee. Those wishing to apply for Junior Liaison must expect to have a child in that division for 2 years.
The Standing Committees and Event Chairs facilitate all projects, programs, and activities approved annually by the Executive Committee. The Standing Committee and Event chairs are responsible for submitting written summaries and financial reports by the end of their terms or one month after the completion of their project, whichever comes first, to the Parliamentarian for filing and to be passed down to their successor. Chairs should attempt to help the successor understand his/her role within one month after the new term begins. Standing and Event committees may be created and/or eliminated by the Executive Committee through majority vote. Standing Committee and Event chairs are expected to attend all general meetings.
Volunteer Coordinator - The Volunteer Coordinator is responsible for overseeing and coordinating the Volunteer Fair (September) in conjunction with the Advancement Office, Volunteer Appreciation Luncheon (May), and working with Event Chairs to ensure they have enough volunteers for each of their events.
Admissions Liaison - (1 volunteer per division) The Admissions Liaison is the parent representative to the Admissions Office looking to make a warm and lasting impression upon potential Saint Andrew’s families. The liaison supports the volunteer needs of the Admissions Office; coordinates with the Admissions Office to plan the May Lower School New Family Breakfast; helps to coordinate the distribution of t-shirts on behalf of SAPA to all new students during Back to School Orientation days; and reports back to the SAPA General Board regarding Admissions events.
Faculty Appreciation Gift Coordinator - The Faculty Appreciation Gift Coordinator will coordinate the purchasing, wrapping, and distribution of appreciation gifts to the faculty twice a year.
Used Uniform Chair (MS and LS) - Each chair will be responsible for organizing and coordinating their respective used uniform inventory, which are stored in closets in each of the two divisions. The two chairs will also help one another set up the uniforms to be sold at in-person events (Orientation, Back to School Night, Parent Teacher conferences and other events as deemed necessary).
LS Lunch Volunteer Coordinator (LS only) - The Lunch Volunteer Coordinator organizes Pre-K, K, and 1st grade parents who are interested in volunteering their students' lunch period. The coordinator trains the lunch volunteers, creates the volunteer schedule, and assists in finding substitutes as needed throughout the year.
Event chairs are responsible for event budget management, coordinating venue selection, publicity and communication, catering, program, and volunteers, as well as any other duties particular to their event. Additionally, Event Chairs are responsible for ensuring all contracts, appropriate insurance, and any other required documents are communicated to the Business Office in a timely manner for review and approval.
