At Vikasa Badi Educational Society (VBES), the Moderator Team is a cornerstone of our academic and administrative integrity. Designed to ensure fairness, procedural consistency, and smooth internal communication, the Moderation System functions as a well-structured, evolving governance framework guided by transparency and responsibility.Â
This system is governed under the official framework outlined by the Department of Administration – VBES, as established in Circular VBES/Adm./CIR/250529/006. It applies to all VBES sessions and extends to collaborative activities involving VBES administration, maintaining a unified code of conduct and operational discipline.Â
The Moderator Team ensures that all VBES activities—whether academic sessions, collaborative projects, or administrative processes—are carried out with clarity, accountability, and fairness. Its functions are not merely procedural; they are foundational to:Â
Protecting institutional standards
Facilitating transparent communication between departments
Ensuring operational efficiency and ethical decision-making
Maintaining structured and respectful engagements across platforms
By actively enforcing guidelines and supporting governance, the Moderation System directly contributes to the seamless functioning of VBES at all levels.Â
The Moderator Team operates under the direct supervision of the Department of Administration – VBES, which holds ultimate authority over:
Determining the number of moderators per academic session Coordinating with Hello! VBES – CC&HdU and ICSU for application releases and public communication
Supervising candidate selection and appointment in collaboration with TERU
Managing disciplinary matters, transitions, and internal restructuring
Issuing updates or amendments to procedural frameworks
This ensures not only uniformity but also flexibility to adapt to the changing needs of VBES.
The VBES Moderator Team follows a clearly defined hierarchy that encourages mentorship, skill progression, and continuity of standards. It comprises the following roles:
The highest authority within the team, the HM oversees all assignments, decision-making, and final reviews. They coordinate operations and ensure every moderator aligns with VBES values and protocols.
The VM assists the HM and may deputize when needed. This position is reserved for individuals with prior experience as HM, VM, or Moderator, offering continuity and seasoned leadership.
Serving as senior advisors, AMs are former moderators (usually HM or VM) who offer guidance during transitions or onboarding phases. This is not an entry-level role and is pivotal during team restructuring.
Moderators are the core executing members of the team. They are responsible for enforcing procedures, reporting activities, and ensuring sessional standards are met under the leadership of the HM and VM.
Each of these roles is essential to the team’s functioning, and their responsibilities may be updated in line with institutional needs, as decided by the Department of Administration.
To maintain the highest standards of moderation, VBES employs a multi-stage, multi-departmental selection procedure. Each session may involve adjustments based on resource availability and operational requirements, but the core stages typically include:Â
Managed by Hello! VBES – CC&HdU with prior approval from the Department of Administration and ICSU.
Applicants must demonstrate technical proficiency, including the ability to use tools such as Microsoft Word, Excel, and Google Suite. Additional qualifications may be prescribed depending on the session.
Conducted by TERU, this stage evaluates candidates' operational aptitude, ethical understanding, general preparedness and technical skills.
Only those who meet the benchmark are shortlisted. Final selections are jointly approved by ICSU and the Department of Administration.
This is conducted only in special cases—such as when previous concerns exist—at the discretion of selection authorities.
An official onboarding session may be organized to acquaint new moderators with their roles, responsibilities, and reporting expectations.
This rigorous process ensures a competent, reliable, and principled Moderator Team.
The professionalism and integrity of moderators are key to their impact. To uphold institutional discipline, the following terms apply:
Tenure: Each appointment is valid for one operational cycle, usually one academic year.
Mandatory Commitment: Those who do not assume their roles without valid reasons may face administrative penalties.
Reappointment: In absence of eligible new candidates, former moderators may be considered for reappointment.
Recognition: Moderators who complete their tenure with satisfactory performance are eligible to receive a formal Certificate of Appreciation.
The VBES Moderation System is formally governed by the Department of Administration and replaces any earlier informal practices or interpretations. All stakeholders, including prospective applicants and departments, are required to comply with the directives stated in the official circular.
