Recommendations
Do not upload videos containing:
Highly sensitive personal data unless appropriate controls are in place
Confidential business information without proper Power BI security
Protected health information (PHI) unless HIPAA-compliant environment
Classified or restricted content without authorization
Best practices:
Review Power BI sharing settings before distributing reports containing videos
Use Power BI's built-in security features (RLS, workspace permissions)
Compress videos to stay under 30MB for persistence if content must remain available
Document video content and approval in accordance with organizational policies
Consider using watermarks on sensitive training or proprietary videos
File Size and Persistence Privacy Implications
Data Persistence Tiers
Understanding how file size affects data retention:
Under 30MB: Full persistence with report
Video saved permanently in Power BI
Subject to Power BI backup and disaster recovery
Included in report exports and migrations
Remains accessible across all sessions
30-200MB: Session-only persistence
Video exists only while Power BI session is active
Not saved in Power BI report file
Must be re-uploaded each session
Reduces long-term data storage and exposure
Over 200MB: Not supported
Upload rejected to prevent performance and memory issues
Privacy Considerations
Larger files (30-200MB) offer enhanced privacy through non-persistence
Sensitive training videos may benefit from session-only approach
Permanent embedding (<30MB) suitable for public or approved content
Organizations can enforce size limits to control data retention
