Inclusivity and event code of conduct
The British Antarctic Survey is committed to making its events productive and enjoyable for everyone, regardless of gender, sexual orientation, disability, physical appearance, race, nationality or belief. We will not tolerate harassment in any form. All delegates are expected to adhere to the following key principles during our in person and virtual events:
Delegates are required to behave professionally - harassment and/or sexist, racist, or exclusionary comments or jokes are not appropriate. Harassment includes sustained disruption of talks or other events, inappropriate physical contact, sexual attention or innuendo, deliberate intimidation, stalking, and photography or recording of an individual without consent. It also includes offensive comments related to gender, sexual orientation, disability, physical appearance, body size, race or religion.
All communication should be appropriate for a professional audience including people from many different backgrounds. Sexual language and imagery is not appropriate.
We expect individuals presenting at the event to work towards making their content as accessible as possible. To learn more about how to do this, please use this guidance on making presentations more accessible to all.
Be kind to others. Do not insult or put down other delegates.
If you have feedback for us or would like to discuss concerns, please get in touch with Pilvi Muschitiello via email.

The conference location
Aurora Innovation Centre, British Antarctic Survey
High Cross, Madingley Road, CB13ET, Cambridge
The in-person event will be hosted at the BAS Aurora Innovation Centre in Cambridge. Here is some information on best ways to travel to BAS as well as a link to accommodation options in Cambridge. The conference will be hosted in a simple hybrid format over Zoom, and we will be looking for best practice to maximise online participation. You can get familiar with the venue and its accessibility on our website. Below are a few ways we can support individuals with different needs:
Our venue has step-free access
We can provide human assistance for guiding anyone with sight impairment
Our conference room has an audio induction loop
We will enable live captioning for all presentations
We will provide guidance to all presenters about making their presentations accessible to different needs.
We aim to build the programme with sufficient comfort breaks, and there is access to a separate wellbeing room.
If you have accessibility needs that could affect our planning, you will be able to let us know through the registration form or if you prefer you can get in touch with us at arctic@bas.ac.uk.
Accommodation in Cambridge
You might want to check out the Cambridge University colleges for rooms via the link below. Fitzwilliam, Churchill and Robinson College in particularly are closer to BAS. We recommend to book accommodation as soon as possible due to limited availability. Check out college accommodation options via this link.
