Terms & Conditions – Event Coverage by Tuskers Moment

The following terms and conditions apply to all event coverage requests made to Tuskers Moment, the official media crew of Pinnawala National College. By submitting a request for event coverage, the requesting party (hereafter referred to as “the Delegation”) agrees to comply with the following:

1. Approval Process

1.1. All requests for event coverage must be submitted through a formal approval letter addressed to the Master-in-Charge (MIC) of Tuskers Moment.
1.2. Coverage will only be provided upon approval by the MIC, and Tuskers Moment reserves the right to accept or decline requests based on scheduling, availability, or other commitments.

2. Scope of Coverage

2.1. Tuskers Moment will provide photography, videography, and related media services during the approved event.
2.2. The extent and style of coverage will be determined by the Tuskers Moment crew, in consultation with the Delegation where appropriate.
2.3. The crew will operate in accordance with the decorum, discipline, and values of Pinnawala National College.

3. Media Ownership & Rights

3.1. All photos, videos, and media content captured by Tuskers Moment remain the intellectual property of the society.
3.2. Raw media files (unedited photos or video footage) will not be shared under any circumstances.
3.3. All media outputs will be edited, fine-tuned, and finalized by Tuskers Moment prior to release.
3.4. Finalized media will be uploaded to Tuskers Moment’s official social media platforms (Facebook, Instagram, TikTok, YouTube, WhatsApp Channel, etc.) as the primary publication source.

4. Distribution of Media

4.1. Upon request, selected subsets of finalized media may be shared with the Delegation for use on their own official society or club pages.
4.2. Shared media must be credited appropriately to Tuskers Moment – Pinnawala National College.
4.3. Media redistribution without prior approval (such as uploading raw, altered, or uncredited versions) is strictly prohibited.

5. Usage & Restrictions

5.1. Media outputs are intended solely for official school and society purposes.
5.2. Commercial use, external promotions, or third-party usage of Tuskers Moment media require prior written consent from the MIC and the Tuskers Moment leadership.
5.3. The Delegation is not permitted to edit, alter, or rebrand the content without prior approval.

6. Conduct & Responsibilities

6.1. The Delegation must ensure full cooperation with the Tuskers Moment crew during the event.
6.2. The crew must be allowed access to event areas necessary for coverage, subject to school regulations.
6.3. Any misconduct, restriction of duties, or violation of these terms may result in immediate suspension of coverage.

7. Future Rights & Legacy

7.1. Tuskers Moment reserves the right to retain, archive, and showcase media outputs for historical, promotional, and legacy purposes.
7.2. Media outputs may be featured in school publications, official portfolios, or promotional material representing Pinnawala National College and Tuskers Moment.

8. Acceptance of Terms

By signing the event coverage request letter, the Delegation acknowledges and agrees to these Terms & Conditions in full. Non-compliance may result in denial of coverage or withdrawal of previously granted permissions.
