Responsibilities of the Adult Web Coordinator
Work with the Scout Webmaster to ensure they have permission to edit the Google Calendar and can keep it up to date
Work with the Scout Historian to ensure they have permission to edit the Google Blog and can keep it up to date
Check the troop GMail account regularly - this is where people interested in our troop contact us
Keep the Google Groups email list current
add new families right away when they join the troop
remove those the request to be removed
Manage the Google Photos albums
Manage the Google Drive - this needs cleanup and photos should be moved to Google Photos
Improve the new wiki (Google Sites) and take things from old wiki (also Google Sites) then delete it
Update the Google Sheets spreadsheet that has the Eagles' Nest by coordinating with the Eagle Scout Advisor or Eagle Board of Review members. It is stored on the Google Drive with the file name: Troop 626 is proud of the young men who have earned their Eagle rank over the years!
Admin/Owner of the Troompmaster account
pay the yearly bill
provide access privileges that depend on troop role of both scouts and adults
update the main web page (troop626.org is a godaddy domain that points to our troopmaster page) as necessary. Keep it simple and point to the wiki for more details
Troopmaster tasks that probably should be delegated:
Keeping roster (names, email, addresses, etc) of all parents and scouts up to date - This is done by the troop;s Chartered Organization Rep adult in our troop
Keeping the Merit Badge Counselor list up to date including the badges for each counselor - The troop's Merit Badge Counselor Coordinator can tell you when information needs to be updated
Creating troop Activities and signups for the activities - maybe the Troop outing coordinator should do this
Updating the Scout leadership roles each election - this is important so that the leadership credit is tracked properly in the advancement system
Advancements (rank and merit badges) are handled by the Advancement coordinators
Ensuring that the camping nights are properly recorded for each scout when they return from an outing - make sure tent vs cabin is correctly entered. This is important because the 20 night requirement for the Camping merit badge should be logged by the scout but this serves as a backup.
Reminding troop families how to log in to Troopmaster - reset passwords, etc.
Keep Scout patrol membership up to date - This is very difficult
Remind the troop that they can send emails from within Troopmaster and can select specific groups/individuals rather than hitting the whole troop with the Google Group email system.
