πŸ“… Booking & Payments

βœ”οΈ A 50% non-refundable deposit is required to secure your date. Your booking is not confirmed until the deposit is received.
βœ”οΈ The remaining balance is due 7 days before the event. Late payments may result in cancellation without refund.
βœ”οΈ Last-minute bookings (within 7 days of the event) require full payment at the time of booking.


πŸ”„ Cancellation & Refund Policy

βœ”οΈ Deposits are non-refundable and secure your event date while covering administrative and planning costs.
βœ”οΈ If you cancel at least 14 days prior to your event and have paid in full, you will receive a refund of the total amount minus the deposit.
βœ”οΈ If you reschedule at least 14 days prior, your payment and deposit can be applied to a new date within 6 months, subject to availability. Only one reschedule is permitted per booking.
βœ”οΈ Cancellations within 14 days of the event are non-refundable and cannot be transferred.
βœ”οΈ No-shows or same-day cancellations are not eligible for refund or credit.
βœ”οΈ If The Pix Bar must cancel due to an emergency or unforeseen circumstance, you will receive a full refund, including the deposit, or have the option to reschedule at no charge.


🚚 Setup, Venue & Space Requirements

βœ”οΈ A minimum space of 8’ x 8’ is required (or 5’ x 10’ for linear setups), with 2–3 feet of clearance on all sides for safe guest movement and optimal booth operation.
βœ”οΈ A standard power outlet must be available within 10 feet of the setup area.
βœ”οΈ For outdoor events, a shaded or covered area is required to protect equipment. We reserve the right to refuse outdoor setups in extreme weather conditions.
βœ”οΈ The client is responsible for ensuring the venue permits photo booths and that all necessary permissions are secured prior to the event.


⏳ Event Timing & Overtime

βœ”οΈ Setup time is included in your rental. Our team will arrive 60–90 minutes prior to your contracted start time for setup.
βœ”οΈ The rental period begins at the scheduled start time, not when guests arrive.
βœ”οΈ Additional time beyond the contracted hours is available at $100 per hour, subject to availability.


πŸ’‘ Equipment, Conduct & Safety

βœ”οΈ The Pix Bar’s equipment is professional-grade and must be handled with care. Any damage caused by guests or the client may result in repair or replacement fees.
βœ”οΈ We reserve the right to pause or end the booth session if our staff or equipment is at risk due to unsafe behavior, venue conditions, or other hazards.
βœ”οΈ The Pix Bar does not service events that involve nudity or any form of illegal activity. We reserve the right to cancel or end the event without refund if such activity is present.
βœ”οΈ The Pix Bar is not responsible for lost or stolen personal belongings left at or near the booth area.


πŸ“· Photo Usage & Privacy

βœ”οΈ Photos taken during events may be used for The Pix Bar’s marketing, website, portfolio, and social media platforms, unless the client requests otherwise in writing.
βœ”οΈ To opt out of promotional use, please notify us at the time of booking.
βœ”οΈ All digital galleries are password-protected to ensure privacy for you and your guests.


❄️ Force Majeure (Unforeseen Circumstances)

βœ”οΈ In the event of severe weather, natural disasters, venue closures, or other uncontrollable circumstances, clients may reschedule at no additional cost, pending availability.
βœ”οΈ Refunds are not guaranteed for these situations, but The Pix Bar will work in good faith to reschedule your event.


πŸ’° Discounts & Promotions

βœ”οΈ Discounts and promotions may not be combined unless explicitly stated.
βœ”οΈ A 15% nonprofit discount is available with proof of 501(c)(3) status, provided at the time of booking.
