These Terms govern access to and use of The WillsFlower App and its associated property and community services.
By creating an account and accepting these Terms, you agree to follow them. Acceptance of these Terms is separate from any optional consent to marketing.
The app is intended for authorised tenants, employees, office managers, administrators, security personnel and service providers associated with supported properties.
Access may require verification and approval by an office manager, property administrator or another authorised person.
You must:
Provide accurate and current information.
Use only your own approved account.
Keep your login credentials secure.
Use only the property, company and role assigned to you.
Notify property management if your access or details are incorrect.
You must not share login credentials or allow another person to use your account.
The app may provide property announcements, guest invitations, access verification, bookings, maintenance requests, memberships, community features, notifications and emergency-assistance tools.
Availability may vary according to property, role and operational arrangements.
The app supports property operations but does not replace:
Emergency services.
Building safety procedures.
Lease or employment obligations.
Property rules.
Instructions issued by authorised property personnel.
You must not:
Impersonate another person or submit false information.
Share single-use guest passes or access credentials improperly.
Attempt to bypass security or role-based access controls.
Access information you are not authorised to view.
Submit fraudulent bookings, payments or maintenance requests.
Upload malicious, unlawful or unsafe files.
Deliberately send a false SOS alert.
Use the service in a way that disrupts the property, app or other users.
Guest passes may be created only for legitimate visitors to the user’s approved company or office.
Passes may be property-specific, time-limited and single-use. Security personnel may accept or reject entry according to property procedures.
Creating a pass does not guarantee entry.
Bookings are property-specific and subject to:
Availability.
Displayed capacity and time restrictions.
Cancellation rules.
Property policies.
Temporary closures or operational requirements.
A booking may be cancelled or restricted where reasonably necessary for safety, maintenance, misuse or property operations.
Authorised users may submit maintenance requests with relevant descriptions and photographs.
Requests may be assigned to an appropriate service provider. Information supplied in a request will be accessible to authorised administrators and personnel responsible for completing or reviewing the work.
Submission does not guarantee a particular completion time unless separately agreed.
Membership prices, billing frequency and renewal information are shown before payment.
Payments are processed by an authorised payment provider. Willsflower does not receive or store complete payment-card details.
A membership becomes active only after payment has been successfully verified. Failed, cancelled or incomplete payments do not activate membership access.
Users are responsible for keeping their payment method current and may manage or cancel eligible memberships through the available app controls. Cancellation does not automatically entitle a user to a refund for a period already supplied, except where required by law or the applicable membership terms.
The memberships offered through the app relate to physical, real-world facilities and services.
Community content is limited to members of the relevant property.
You must not publish content that is:
Unlawful, threatening, discriminatory or abusive.
Misleading, fraudulent or defamatory.
Privacy-invasive or discloses another person’s confidential information.
Commercial spam or unauthorised advertising.
Harmful to the property, service or other users.
Users can report inappropriate content. Administrators may investigate reports, remove content, restrict participation or preserve evidence where reasonably required for safety, legal claims or law enforcement.
The SOS feature is intended to help alert relevant property personnel. It is not a replacement for emergency services and cannot guarantee that an alert will be received or acted upon immediately.
In a serious or life-threatening emergency, contact the appropriate emergency service directly whenever possible.
False or malicious SOS alerts may result in account restrictions and other appropriate action.
The app may send operational communications concerning account approval, safety, announcements, guests, bookings, maintenance and other requested services.
Optional promotional communications require separate consent and can be disabled through Privacy & Data.
Push notifications depend on device settings, connectivity and third-party delivery services and therefore cannot be guaranteed.
We aim to keep the service available, but interruptions may occur because of maintenance, connectivity, device limitations, security incidents or third-party services.
Features may be changed, suspended or withdrawn where reasonably required for security, compliance or property operations.
Access may be suspended or ended when:
Employment, occupancy, invitation or property eligibility ends.
Account information is false or misleading.
Security has been compromised.
These Terms or property rules are materially breached.
Suspension is reasonably necessary to protect users, the property or the service.
Users may request account deletion through Privacy & Data, subject to information that must be retained for legal or operational reasons.
The Privacy Notice explains how personal information is collected, used, shared, protected and retained.
Accepting these Terms does not constitute consent to optional marketing.
Nothing in these Terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
Subject to applicable law, Willsflower is not responsible for loss caused by:
Unauthorised use resulting from a user’s failure to secure their account.
Connectivity, device or third-party service failures outside reasonable control.
Use of the app contrary to these Terms or property instructions.
Information or content supplied by another user, except where responsibility cannot legally be excluded.
We may update these Terms to reflect changes in services, property operations or law. Material changes will receive a new version and date, and users may be asked to review and accept them again.
These Terms are governed by the laws of England and Wales, subject to any mandatory consumer rights that apply to you.
