◆ Data Protection Declaration
● If you provide personal data electronically and voluntarily to the TCS & IAA Asian
Regional Meeting, for example, via a registration form, only the data you submit will be
collected and used.
Such data will not be provided or transferred to third parties. After the conclusion of the
conference, the data will be deleted.
◆ General Information for Presentations
● English will be the official language of the meeting.
● The following icons may be included on slides and posters to indicate
- That results should not be shared on social media or blogs
- That recording and photography are strictly prohibited.
◆ Oral Presentations
● Each presentation will be allocated 15 minutes, followed
by an additional 5 minutes for questions. Given the tight conference schedule, speakers
are strongly urged to adhere strictly to these time limits.
● Presentation slides must be prepared in Adobe Acrobat Reader format (.pdf) and
should use the standard 4:3 aspect ratio.
● Please name your presentation file using the following format:
Day_Session_AuthorName (e.g., 01_S1_Kawai indicates a presentation scheduled for
October 1st, in Session S1, by the first author, Kawai).
● Speakers are responsible for bringing and uploading their own presentation files.
Files must be uploaded during the break before the start of each sub-session.
It is the speaker’s responsibility to ensure that the file functions properly before visiting
the Speaker Ready Room.
● A PC with a USB port will be available for all presentations.
● If your participation was supported by a travel grant, please acknowledge it
in your presentation (e.g., Sponsored by…).
⭐ Topic
● This TCS & IAA Asian Regional Meeting challenges the language barriers among
different countries.
In Asian countries, diverse languages are spoken, and particularly, citizen scientists,
conservationists, and government employees may not speak English. This creates
a significant barrier to oral communication in English.
● To encourage greater participation, the regional meeting will adopt a generative
AI translation system for multiple languages. If you are not an English speaker and are
interested in giving an oral presentation using the generative AI translation system,
please contact the organizers.

● There is no need to worry about giving an oral presentation, even if you do not speak
English.
◆ Poster Presentations
● The TCS & IAA Asian Regional Meeting Organizing Committee looks forward to
viewing your posters during the poster session on the afternoon of Wednesday,
October 1st.
We appreciate your cooperation in adhering to the following guidelines:
- Posters should be presented on tablets or laptop computers.
- Presenters are responsible for bringing their own tablets or laptops, as the organizers
will not provide these devices.
- The format and style of the poster are flexible and left to the discretion of
the presenter.
◆ Social Media Guidelines
● To balance the benefits of social media engagement with the need to protect
author's intellectual property, we have established the following guidelines:
- Do not take photographs or record videos of presentations or posters without
explicit permission from the author.
- Never post images or videos online without the author's explicit consent.
- By default, open discussion of TCS & IAA Asian Regional Meeting presentations on
social media is permitted.
- However, if an author requests that their presentation content not be disseminated,
please respect their wishes.
