PLEASE READ:
Expectations of Individuals Reported for Harm and/or Misconduct
If you are approached by the Safety Liaison or a member of the Event Response Team and informed that you have been reported for harm and/or misconduct, please:
Respond in a timely manner if contacted digitally (24-48 hours)
Be responsive if approached in-person (this doesn't mean you're expected to drop your responsibilities to talk right when you're approached, but please take a moment to schedule a conversation for later).
Being informed that you have been reported for harm and/or misconduct can be distressing. You are allowed to ask for time and space to calm yourself before engaging with conversations and the restorative process. However, your access to the event may be limited until you are able to schedule a time to discuss the matter.
Phase One: The Reporting Process
Step One: A Report is Submitted
Click here to fill out a report form, comment form, or start a conversation with a Swing Reports & Restorations representative.
Step Two: Report Reception
Upon receipt of a text message, voice message, or report, the Safety Liaison (Riley Crozier) will respond if/as requested within one hour of submission during scheduled hours or within one hour of the start of a shift if the message or report comes in off-hours. The only exception to this timeline would be due to delays in event schedules that impact Riley's schedule, or a significant backlog of reports.
The Safety Liaison will carefully assess the requests for anonymity, confidentiality, contact, and action.
Step Three: Safety Liaison Contacts Reporter
If the reporter has submitted a request for immediate emotional support or a conversation with the Safety Liaison and the reporter has 1) contacted the Safety Liaison or 2) filled out a report with their contact information, the Safety Liaison will contact the reporter.
Step Four: The Safety Liaison Assesses Action Requests
The Safety Liaison will assess and seek as much clarity as possible around what the reporter would like to see happen to repair and/or reestablish ongoing safety for the reporter and the community.
Action will never be taken without the explicit consent of the reporter and a full understanding of any ongoing safety concerns.
Phase Two: Developing the "Report Response Plan"
Step One: Advocacy
If the reporter has requested actions that require the approval of the Event Response Team and has consented to the necessary information being communicated to the relevant members of the Event Response Team, the Safety Liaison will contact those team members.
For action requests that are not consequential to the individual reported for harm and/or misconduct:
The Safety Liaison will advocate for the safety requests of the reporter within the structures of event policies.
Examples:
>> If a reporter requests a refund, the Safety Liaison will advocate for them receiving a ticket refund.
>> If a reporter requests not drawing the person they are reporting for harm in a Jack & Jill contest, the Safety Liaison will contact the Head Judge to discuss what is possible within the policies of the event and WSDC regulations.
For action requests that are consequential to the individual reported for harm and/or misconduct, an investigation is typically required.
Step Two: Investigation
If the requests involve consequences that impact the person who caused harm, an investigation may be necessary.
Investigations may include contacting the person who has been reported for harm and/or misconduct for their perspective on the event, contacting witnesses, and/or contacting additional parties.
During each phase of investigation, the reporter's confidentiality requests will be honored.
If the reporter does not consent to an investigation or their confidentiality requests limit investigation, report response actions may be limited.
Step Three: Finalizing the Report Response Plan
Based on the requests of the reporter and the results of any necessary investigation, the Swing Reports & Restoration affiliated Safety Liaison will draft an initial Safety Response Plan.
The Safety Response Plan will be based in the values of Swing Reports & Resolutions' Guiding Values.
The Safety Response Plan will be sent to all involved parties. All involved parties will have an opportunity to offer feedback and ask questions.
Phase Three: Enacting a Report Response Plan
Step One: Submitting the Report Response Plan for Approval
Based on the requests and safety needs of the reporter, the Safety Liaison will then submit the Safety Response Plan to Swing Reports & Restorations affiliated event directors, fully anonymized, for approval.
Step Two: Communicating Resport Response Plan Implementations to Involved Parties
Using previously established contact methods, the Safety Liaison will communicate the decisions of Swing Reports & Restorations affiliated event director(s) to all involved parties.
