Vendor Terms and Conditions
To ensure a positive, fair, and respectful experience for all vendors, customers, the host, and The Boba Room, all vendors are required to comply with the following rules:
1. Sign Ups
Vendor applications will be processed based on a first-come-first-serve availability including payment of the deposit (see "Deposit" below). Submitting this form does not guarantee acceptance for the event. Vendors will be notified if they have been accepted or not via the contact information provided in this form. If there is no clear contact information or shop owner name provided in this form, this application will be discarded.
Shop owner names will not be publicly listed and for contact information only. Only the shop name will be listed online as public information for advertising purposes, and removed after the event has finished. Please email sweeteuphoriaevents@gmail.com or DM @sweeteuphoriaevents on Instagram if you have any questions regarding public information.
2. Tables and Chairs:
All vendors will be provided with ONE (1) 4 ft X 2 ft table from The Boba Room or SweetEuphoriaEvents. Chairs will be provided from The Boba Room. You may not bring your own table or chairs, unless for medical/accessibility reasons. Each booth can accommodate up to 3 chairs. SweetEuphoriaEvents strongly recommends to limit accompanying help to 2 people only. Any people outside of this 2 person limit will not have a chair.
3. Set Up + Break Down:
Vendors may be required to assist The Boba Room in helping move tables and chairs. Set up will begin at 9:45 AM. All vendors are required to be set up by 10:50 AM for safety reasons. The 11 AM time slot is usually the most crowded. It is not safe for both vendors + customers if vendors are trying to weave through traffic to set up. Vendors are not required to arrive at 9:45 AM, but must be able to be 100% ready by 10:50 AM. Break down will begin at 3 PM. All vendors are required to break down by 3:45 PM.
4. Items For Sale:
Vendors may sell whatever they like, including food+drink objects. However, all vendors must include at least THREE (3) BTS-related items. Tax is not required, and vendors may choose whatever payment method(s) they would like to accept. All items for sale must fit on top the table (posters/banners/etc. can hang from the sides of the table).
The following situations are not acceptable: (including but not limited to)
-Items underneath or behind the table (it's ok to have packing materials/sealed stock, but vendors can't be selling out of this area)
-Items on chairs and other furniture/decor
-Extra shelves/racks/boxes next to the table (i.e. clothing racks, storage bins, accessory racks)
-Having more than 1 table
-Command hooks on The Boba Room walls to hang up more items
SweetEuphoriaEvents encourages vendors to "build up". Small shelves/panels, or having a photo book of items for items like clothes are highly encouraged. If your items do not fit on the table, you will be asked to return these items to your car. You may come + go to your car to restock your booth during the event.
5. Deposit:
All vendors are required to pay a $50 refundable deposit to SweetEuphoriaEvents to secure their spot. This deposit will be refunded by 11:59 PM HST on the day of the event by SweetEuphoriaEvents.
-If a vendor is not selected for this event, they will be refunded via the same way they have paid.
-If a vendor does not comply with the rules above during the event, they will not be refunded
-If SweetEuphoriaEvents initiates a date change and a vendor is no longer able to make it, the vendor will receive a 100% refund
6. Cancellation
If vendors need to cancel, they are required to let SweetEuphoriaEvents know ASAP via email at sweeteuphoriaevents@gmail.com or DM at @sweeteuphoriaevents on Instagram. Depending on the date of cancellation, deposit refunds may vary:
1 Month Before Event: 100% Refund
3 Weeks Before Event: 75% Refund
2 Weeks Before Event: 50% refund
1 Week Before Event: No Refund
Vendors will no longer be allowed to vend at SweetEuphoriaEvents after cancelling on TWO (2) events. Please check your schedules carefully before signing up to vendor.
Below are two samples of acceptable set-ups. Note how the vendors have all of their items on the table-top, and are making good use of their space by utilizing shelves, accessory holders, crates, etc (building up rather than building out). They do not have any extra shelves/items off to the side next to their table. They have some packing materials on the floor underneath the table, but they are not selling out of those bins--it is strictly storage space and not taking up excessive room. Please use these images as guidelines for planning your set up.
