Spring Carnival Volunteer Information
Spring Carnival is one of our largest events as a PTA. This is the second largest fundraiser that we do. It takes weeks and months of planning and many support hours from our volunteers. You can review the different positions available below. If you are able to help out, please click to sign up!
To volunteer at school events, you must be an approved volunteer with FCPS. Approvals are valid for 4 years. If you need to fill out an application or check your status, click here!
Volunteer Descriptions- Spring Carnival 2026
General Volunteer Responsibilities:
Volunteer Check In will be located in the front lobby of the school. Please by-pass admission lines if necessary to check in on time.
Please check in at least 5 minutes before your scheduled shift begins. For first shift volunteers, please check in by 4:45.
Volunteers will receive a lanyard name tag. Please keep this visible during your shift. Important contact information will be on the back for questions and assistance if needed. If you need anything at all, please let us know!
All volunteers should demonstrate and help to enforce appropriate and safe school behavior.
Registration
Sales: This position can only be filled by a non-staff PTA member. The registration ticket sales volunteer will be stationed at Registration Table 1 which is located at the Front Doors. This will be the only registration table accepting payments. This person will need to be comfortable taking payments, making change, operating the square reader in addition to the other registration responsibilities.
Table 1-Front Door: This station is for guests who have not preregistered and need to pay for admission upon arrival. 3 volunteers will work together to operate this station. 1 will be in charge of sales, and the other 2 will support. All will be responsible for ensuring the following: All guests under 18 MUST be accompanied by a supervising adult. Every guest entering the carnival should have a wrist band including adults. The cost for each child under 18 is $5. Each $5 admission comes with 5 raffle tickets. There will be premade labeled envelopes containing wristbands and raffle tickets in common amounts.
Table 2-FRC Door & Table 3-Bus Loop: These stations are for guests who have preregistered and already have their wrist bands. Any guests needing to purchase admission should be directed to the Front Door registration. 2 volunteers will work together to operate this station. Both will be responsible for ensuring the following : All guests under 18 MUST be accompanied by a supervising adult. Every guest entering the carnival should have a wrist band including adults. These tables will close around 6pm depending on traffic.
Games and Activities
Games Assistance: These volunteers will be responsible for helping out with games in the complexes and gym. Southern Staff or community partners will be running games, but may need assistance with things like passing out prizes, crowd/line control, etc. One person will be assigned to petting zoo to help monitor the area and check in on the zoo staff to ensure they have what they need. All volunteers-Please also monitor the surrounding area for behavior or safety concerns and alert the proper parties if necessary.
Food Area
Sales: This position can only be filled by a non-staff PTA member. This volunteer will be responsible for sales of all PTA concessions. This includes popcorn, cotton candy, and waters. They should be comfortable taking payments, making change, and operating the square reader.
Cotton Candy Maker: This volunteer will be making cotton candy. Previous experience with cotton candy machine a plus but not required. Continuous making will be best as the demand is often high! Make sure we have at least 10 bags on hand at a time, so we don’t have a back up of people waiting. This can be a messy job, but also fun!
Popcorn Maker: This volunteer will be making popcorn. Previous experience with popcorn machine a plus but not required. Make sure we have at least 10 bags on hand at a time, so we don’t have a back up of people waiting.
Concessions Assistance: These volunteers will assist the popcorn and cotton candy makers in preparing serving bags, and getting supplies if necessary. They may also be needed to help the sales person in fulfilling orders. Please keep the area clean and tidy, and keep a check on the outdoor dining area for trash/messes. They will also help monitor the area for behavior or safety concerns and communicate to proper parties if necessary.
Face Painting
Painter: These volunteers will be painting faces! In advance of the carnival, please provide around 5 designs you are comfortable painting. Designs should be relatively simple and able to be done within a few minutes. Please communicate any desired and preferred materials so we can have them prepared for you!
Tattoos: This volunteer will be doing temporary tattoos. Help the children choose a tattoo and place on skin and dampen.
Support/Monitor: This volunteer will support the face painters and tattoo artist with anything they need. Getting supplies, helping with lines and making sure children are accompanied by an adult.
Student Raffle
Monitor: This volunteer will be responsible for monitoring and assisting with the student raffle. This includes keeping an eye on the prizes to make sure nothing is tampered with or stolen. Raffle ticket boxes should always remain in front of their prize, and prizes should not be handled. Volunteers should also direct kids/parents to the appropriate table for filling out tickets. There will be written instructions there about what to write on tickets.
Sales: This position can only be filled by a non-staff PTA member. This volunteer will be responsible for all Raffle Ticket sales. They should be comfortable taking payments, making change, and operating the square reader. Cost for tickets is 10 for $5. We will only sell in increments of 10 to make things simpler. Tickets can be pre-torn in sets of 10 for quick and easy transactions.
Awards: (PTA BOARD MEMBER) This volunteer will be responsible for giving out prizes at the end of the carnival. Starting at 6:30 they will pull a ticket from each box, and send names of winner to be read on the announcements. For the raffle prizes that are not physical items but certificates for in school activities, a winner’s card must be completely filled out and given to Carissa at the end of the night.
Silent Auction
Monitor: These volunteers will be responsible for watching over the silent auction during the event, including making sure items are not tampered with or stolen. They should be familiar with the auction process so they can answer any questions and help guests make bids if needed.
Sales: (PTA BOARD MEMBERS) At 6:30pm we will collect baskets/bid sheets and put them in the collection area. Record winner name, phone number and final price on the master list. We will call/text the winners and have them make payment and give them their basket. When their payment is complete and basket handed over, mark complete on master list. This will be a 3-4 person job. All present board members should be at either the raffle or silent auction at closing. This is a very busy time!
Volunteer Support
Check In: This volunteer will be responsible for checking in all volunteers and directing them to their station and giving any materials needed. They should be familiar with volunteer positions, the map of the carnival and comfortable giving directions within the school.
Runner: Responsible for walking around, making sure there are volunteers in all positions necessary. Please take around waters to all volunteers and staff members. Gather supplies and take to appropriate stations as needed.
Floater: Available to cover for volunteers where needed. Cover for bathroom breaks, fill in when extra help is needed in a certain area.
Substitutes: On call and available for any positions that are unfilled or no shows.
