Technical info

SOUL4 will be held fully online, via Zoom. (Download and install Zoom: https://zoom.us/ )

The conference will consist of invited talks, regular talks, and short talks. Invited talks are 45 minutes long (followed by 10 minutes for discussion). Regular talks are 20 minutes long (followed by a 10 minute Q&A session). Short talks are 10 minutes (followed by a 5 minute Q&A session). The 30 minute/15 minute time slots may not be exceeded.


The structure of each Session

  • The Host will start the Zoom meeting 30 minutes before each morning session of the day

  • The Session Chair introduces the session 1 minute before the Session

  • The Session Chair announces the presenter at the beginning of the talk

  • Participants will be muted during the presentation by the Host

  • A 10 minutes/5minutes-long live Q&A Session will follow each talk moderated by the Session Chair

  • Participants can indicate their questions via typing the letter "Q" OR typing the question itself directly into the chat (so that the Chair can read it out for the presenter)

Instructions for Presenters

  • We would like to post slides and/or handouts for all the talks on the conference website, so that attendees could download them in advance. Therefore, we encourage you to email your materials (as pdf files) to soul4conference@gmail.com in the morning of your talk at the latest

  • Please join the meeting at least 10 minutes before the session with your presentation starts

  • Make sure that your real name is displayed in Zoom (To change the name: Click on the "Participants" button and hover your mouse over your name in the list of participants. Then click on "Rename".)

  • When called on by the session Chair to start your talk:

    • Share your screen and select the window with your slides or handout. This will allow the audience to follow your handout or slides in real time.

    • Unmute yourself using the mute/unmute button

    • Turn on your video using the video button

  • The Host will notify you when there are 10, 5 minutes left and again when there is 1 minute left.

  • There will be 10 minutes (for regular talks) and 5 minutes (for short talks) of discussion. Please keep your microphone and video on during this time.

  • When it is time for the next presenter:

    • Click "Stop Share" below the control panel near the top of the screen

    • Re-mute yourself

    • Turn off your video
