This document informs you about important student employment policies and procedures within Sibley Music Library. As student employees you have an integral role, and working at Sibley is an important commitment. Your attendance, punctuality, and professionalism are crucial to the everyday operations of the library.
Work Expectations:
Student employees are assigned special tasks within each library department. Each student must be committed to providing service for all library patrons. Whether they are working as front house staff at the Reference or Circulation Service desks, behind the scenes in Acquisitions or Bindery, or in Special Collections facilitating research, student employees are responsible for making materials easily accessible to patrons.
Familiarize yourself with the Helpful Resources Page in this handbook. The first six weeks of employment are considered a probationary period. During this time, any problems will be addressed by your supervisor. Failure to learn procedures and policies, or persistent lateness and/or absences may lead to immediate termination. Employment is scheduled for the academic year (August-May), and your work schedule will be set up by your supervisor. For most departments a new schedule will be created at the beginning of each semester. If you do not plan to work both Fall and Spring semesters, please inform your supervisor immediately. Additionally, the library hires student employees for summer sessions, breaks, and vacations. If you are interested in working during any of these periods, please inform your supervisor.
Responsiveness and Work Schedule:
Please check your University of Rochester email regularly for communications regarding your employment. Your supervisor will notify you of your work schedule either through email correspondence or via the Shyft scheduling software.

Absences:
Each department will have its own specifications for what is an excused absence. You will need to give advance notice to your supervisor for any shift that you need to miss. Emergency situations, such as accidents, sudden illnesses, etc., must be reported to your supervisor. Even during inclement weather, students are expected to be present and work their scheduled shifts. You are required to report on time and work your full assigned shifts (unless arrangements have been made with your supervisor).
Punctuality:
It is your responsibility to let your supervisor know if you are running late.
Compensation:
Please use myURHR UKG / UKG to clock in and out of every shift. If there is an error in the punch-in/punch-out process, please notify your supervisor. In order to be paid, you must punch in and punch out of every shift. Students receive paychecks on a bi-weekly basis (every other Friday). Scheduling Work Hours:
As a student employee you are not permitted to work over 20 hours total for all combined on-campus employment during the academic year, and up to 40 hours maximum during breaks and summer. If you work multiple on-campus jobs, it is your responsibility to schedule your hours carefully to ensure they do not overlap. Inform your supervisor if there are any changes to your schedule, including any other on-campus positions. You are not permitted to work during your scheduled class times. If you work a shift that lasts 6 hours or longer you must take a 30-minute unpaid meal break.
Disciplinary Action:
The following are examples of incidents that may result in disciplinary action or termination:
Repeated lateness or unexcused absences.
Failing to carry out duties as assigned.
Performance that does not meet expectations.
Excessive use of personal devices such as cellphones, laptops, or headphones.
Failure to complete mandatory trainings set by the Student Employment Office.
Homework or personal work during work hours.
Service desk workers in public sight should keep conversations with friends at a minimum.
Theft of library property.
Breaching the confidentiality of any library records or transactions. We ask that you do not discuss patron records with anyone. The ILS (Integrated Library System) we use is Ex Libris' Alma. We ask you not to share any personal information (addresses, phone numbers, etc.) of people with patron accounts, the name of a person who has checked out a particular item, or the review of past users of an item.
We offer Student Employment within four departments. Each department will have its own procedures and manual, which you can obtain from your department supervisor.
