Vendors are responsible for reviewing and following all Craft Fair Guidelines listed below.
The Phi Theta Kappa (PTK) Craft Fair is happening on April 4th from 10 AM to 3 PM at the Southern Maine Community College HUB Gymnasium. SMCC’s HUB Gym is located on the corner of Fort Rd and Benjamin Pickett St. Craft Fair setup will be in the open court space in the gymnasium.
There will be free public parking available in the Visitor & Faculty/Staff “Lot A” located behind the gym. There are multiple entrances in which Vendors can load their equipment in and out. SMCC will provide a space for your table, a table if you request it, and can provide a select number of tables with electrical access.
Setup, Breakdown, and Clean Up:
Vendors can arrive any time after 8 AM on the day of the event to set up.
Exhibits must be set up by fair opening at 10 AM.
Exhibits and equipment must be broken down and removed from the building by 5 PM.
The Vendor is required to donate one item from their booth to a raffle benefiting PTK.
Vendors and students cannot dispose of large amounts of trash on SMCC property, and are responsible for taking out what they bring in. Small amounts of garbage disposal is acceptable.
Vendor Expectations:
Vendors will only sell merchandise that was authentically made by the vendor.
Vendors are responsible for all necessary materials, equipment, and components of their display.
Exhibits must be staffed by individuals over the age of 18.
Exhibits may not block walking paths, stairs, elevators, or exits.
Vendors are required to post an identification sign in a prominent place stating the vendor’s business name. This is not an expectation for student vendors.
All Vendors employees/volunteers must wear individual name tags that state the first name and the company/vendor they are representing. If you do not have your own, we will provide one for you.
Vendors will follow all local laws and regulations while at this event.
No items sold shall be exclusionary or offensive to the public (pornographic, etc.).
Vendors will not use projection, sound, or noise amplification at their table.
All transactions between the Vendor and the Customer are the responsibility of the Vendor. Vendors must have their own funds to make change. The customer has the right to request and receive a receipt. The collection and remittance of Maine Sales Tax is the responsibility of each exhibitor. SMCC will provide paper form receipts for student vendors as needed.
If using an electrical outlet, the electrical load cannot exceed 110 volts, 15 amps. We have limited outlets available, and so vendors will be limited to one outlet. Extension cords or surge protectors will not be permitted without prior authorization.
Vendors are responsible for keeping their space clean and clear of safety hazards.
Vendors are responsible for ensuring any edible food products meet legal requirements and food safety standards.
All Vendors selling food must provide a copy of their Food License or Vendor’s License. Please send these via email or along with payment.
The following items are prohibited: pets, latex items including balloons, weapons, items with an open flame, drugs, alcohol, tobacco, or any other items commonly prohibited on college campuses.
Southern Maine Community College is a tobacco-free campus. Cigarettes and other tobacco products (including vaping) are prohibited on all campus properties, including in vehicles, parking lots, outside areas, and all facilities.
Vendors shall protect, maintain, save and hold harmless the College, its officers, agents, servants and employees from and against any and all claims, demands, expense and liabilities arising out of injury or death to any person, or the damage, loss or destruction of any property which may occur in or about the venue (including any portion thereof which vendor has not been given the right to occupy or use pursuant to the terms of this Agreement) or which may arise or in any way grow out of any act or omission of vendor, its agents, invitees and patrons’ use and occupancy of venue.
Use of the SMCC logo in any materials must be approved in advance via smccptk@mainecc.edu
There will be no refunds, and booths are not transferable.
Misuse/abuse of the Hutchinson Union Building (HUB), SMCC staff, students, or Phi Theta Kappa members, or any of SMCC equipment will be grounds for immediate dismissal.
Rules are subject to change. Continued participation of the Vendor is at the discretion of the event’s staff. The College reserves the right to cancel a vendor's approval at any time.
