Β Unit-I Introduction to Communication
Communication is the process of exchanging information, ideas, thoughts, feelings, and emotions between two or more persons. It is essential in personal, social, and professional life.
1. Verbal and Non-Verbal Communication
Verbal Communication is the use of words to convey messages. It can be Oral (spoken) or Written. Oral communication includes conversations, telephone calls, meetings, presentations, and public speeches. While, written communication includes letters, emails, reports, memos, and notices. Its main advantages are clarity and the ability to keep records. However, it can lead to misunderstanding if the tone or language is not proper.
Non-Verbal Communication is the process of communicating without using words. It includes body language, facial expressions, gestures, eye contact, posture, tone of voice, personal space, and even silence. According to communication experts, a large part of meaning (around 55%) is conveyed through non-verbal cues. For example, a smile shows friendliness, while crossed arms may indicate defensiveness. Non-verbal communication is very powerful because it often reveals true feelings even when words say something else.
Verbal Communication
Communication that uses words (spoken or written).
Types:
Oral: Face-to-face conversation, telephone, meetings, speeches.
Written: Letters, emails, reports, notices, memos.
Advantages: Clear, precise, can be recorded. Disadvantages: Can be misunderstood if tone is wrong.
Non-Verbal Communication
Communication without words through body language, gestures, facial expressions, etc.
Types:
Kinesics (Body movements): Gestures, posture, facial expressions.
Proxemics (Space): Personal space and distance.
Chronemics (Time): Use of time (punctuality).
Haptics (Touch): Handshake, pat on back.
Paralanguage: Tone, pitch, volume of voice.
Note: Non-verbal communication often conveys more meaning than verbal (7% verbal, 55% body language, 38% tone β Mehrabianβs Rule).

Personal Communication is informal and emotional. It takes place between close relations such as family members and friends. The language used is simple, casual, and full of feelings. Example: Talking to your parents about personal problems or chatting with friends on WhatsApp.
Social Communication is used in society to build and maintain relationships. It is semi-formal. People use it in parties, community functions, social media, and public places. Its main purpose is socialization and creating goodwill.
Business Communication is formal, structured, and purpose-oriented. It is used in offices and professional settings. It includes internal communication (between employees) and external communication (with customers, suppliers, and stakeholders). It must be clear, polite, concise, and accurate because it directly affects business decisions, image, and success. Poor business communication can lead to loss of clients and opportunities.

Unit II: Dialogue and Monologue, Group Discussion, Interview, Public Speech
Communication takes various forms depending on the number of participants and purpose.
Β
1. Dialogue and Monologue
Communication is the process of exchanging ideas, thoughts, feelings, and information among individuals. Depending on the number of participants involved, communication may take the form of a dialogue or a monologue. Both are essential forms of verbal communication and are widely used in everyday life, education, business, literature, and the media.
A dialogue is a conversation between two or more persons in which ideas, opinions, information, or emotions are exchanged. It is a two-way or multi-way process of communication where every participant has the opportunity to speak as well as listen. Dialogue plays a significant role in maintaining healthy interpersonal relationships because it encourages cooperation, understanding, and mutual respect. It is commonly used in classrooms, interviews, meetings, customer service, negotiations, and everyday conversations. A good dialogue should be natural, meaningful, and purposeful. The speakers should use simple and polite language, listen carefully to one another, respond appropriately, and maintain a logical flow of conversation. Effective dialogue helps solve problems, resolve conflicts, share knowledge, and strengthen relationships.
A monologue, on the other hand, is a speech delivered by a single person without interruption from others. It is a one-way form of communication in which the speaker expresses ideas, thoughts, feelings, or opinions continuously while the audience listens silently. Monologues are frequently used in classrooms, public speeches, lectures, seminars, and theatrical performances. In literature, a monologue allows readers or audiences to understand the thoughts and emotions of a character. There are mainly two types of monologues. An interior monologue reveals the internal thoughts and feelings of a character and is commonly used in novels and psychological literature. A dramatic monologue is a speech delivered by a character to a silent audience, usually revealing the speaker's personality, emotions, and circumstances. Teachers delivering lectures, politicians addressing the public, and actors performing on stage often use monologues.
Although both dialogue and monologue involve verbal communication, they differ significantly in their nature and purpose. Dialogue is interactive because it involves active participation by two or more people, whereas monologue is non-interactive because only one person speaks. Dialogue encourages feedback, discussion, and clarification, while monologue mainly focuses on presenting information, opinions, or experiences without immediate response. Dialogue is therefore more suitable for collaborative situations, whereas monologue is effective for speeches, storytelling, and formal presentations.
2. Group Discussion (GD)
A Group Discussion (GD) is a structured and formal discussion in which a small group of participants exchange ideas on a given topic with the objective of analysing a problem, sharing opinions, or reaching a common conclusion. Usually, a group discussion consists of six to twelve participants and is conducted under the observation of an evaluator. It has become one of the most important methods of assessing communication skills, leadership qualities, analytical thinking, teamwork, confidence, and decision-making ability. Educational institutions, business organizations, and multinational companies widely use group discussions during admissions, campus placements, and recruitment processes.
The primary objective of a group discussion is not merely to test knowledge but to evaluate how effectively participants communicate their ideas, listen to others, and contribute to a meaningful discussion. Participants are expected to express their opinions confidently while respecting different viewpoints. They should present logical arguments supported by facts, examples, or practical experiences. A successful group discussion encourages creativity, cooperation, and critical thinking, allowing participants to solve problems collectively rather than individually.
Group discussions are generally classified into two major types. A topic-based group discussion focuses on general, social, economic, political, or technological issues such as "The Impact of Artificial Intelligence," "Climate Change," or "Social Media and Youth." A case-study-based group discussion presents participants with a practical situation or business problem and requires them to analyse the issue, discuss possible solutions, and arrive at an appropriate decision. This type mainly evaluates problem-solving ability and teamwork.
Success in a group discussion depends upon several important communication skills. Participants should begin confidently if given the opportunity, but without dominating others. They should listen carefully to every speaker, maintain eye contact, and encourage others to contribute. Their arguments should be relevant, logical, and supported by appropriate examples. Respectful disagreement is acceptable, but personal criticism, interruption, or aggressive behaviour should always be avoided. Participants should speak clearly, maintain proper body language, and summarize the discussion whenever possible. These qualities demonstrate maturity, leadership, and professionalism.
Group discussions play an important role in modern education and employment because they prepare students for professional life, improve public communication, enhance self-confidence, and develop leadership qualities. They also teach individuals the importance of cooperation, patience, active listening, and respect for diverse opinions, making them an essential component of personality development.
3. Interview
An interview is a formal conversation between two or more persons in which one person, known as the interviewer, asks questions while the other person, called the interviewee, responds to them. Interviews are widely used in recruitment, higher education admissions, research, journalism, counselling, and professional evaluation. The main objective of an interview is to assess a candidate's knowledge, communication skills, personality, confidence, attitude, and suitability for a particular role or position.
There are several types of interviews depending on their purpose and method. A structured interview follows a predetermined set of questions that are asked uniformly to every candidate, ensuring fairness and consistency. An unstructured interview is more flexible, allowing the interviewer to ask additional questions based on the candidate's responses. A panel interview involves multiple interviewers who evaluate the candidate from different perspectives, while a stress interview intentionally places the candidate under pressure to assess emotional stability, patience, and problem-solving ability under difficult circumstances.
Preparation is the key to success in an interview. Candidates should thoroughly research the organization, understand its objectives, products, or services, and prepare answers to frequently asked questions such as "Tell me about yourself," "What are your strengths and weaknesses?" and "Why should we hire you?" Professional appearance, punctuality, and positive body language create a favourable first impression. During the interview, candidates should maintain eye contact, answer questions honestly and confidently, speak politely, and avoid unnecessary exaggeration. At the end of the interview, asking thoughtful and relevant questions demonstrates genuine interest and professionalism.
An interview evaluates much more than academic knowledge. It assesses communication skills, confidence, leadership potential, decision-making ability, emotional intelligence, and professional ethics. In today's highly competitive employment market, interview skills have become essential for career success. Continuous practice through mock interviews, self-evaluation, and personality development programmes helps candidates perform effectively in real interview situations.
4. Public Speech
Public speaking is the process of delivering a speech before an audience with the purpose of informing, persuading, motivating, or entertaining people. It is one of the most important forms of oral communication and is widely used in education, politics, business, social organizations, and public life. An effective public speaker possesses the ability to communicate ideas clearly, confidently, and convincingly while maintaining the interest and attention of the audience.
A good public speech has three essential parts: the introduction, the body, and the conclusion. The introduction captures the audience's attention through an interesting statement, question, quotation, or story while introducing the topic. The body presents the main ideas in a logical sequence supported by facts, examples, illustrations, or statistics. The conclusion summarizes the key points and ends with a memorable statement, quotation, or call to action that leaves a lasting impression on the audience.
Several characteristics distinguish an effective public speech. It should have a clear objective, logical organization, and simple yet powerful language that is easily understood by the audience. The speaker should use voice modulation, appropriate pauses, correct pronunciation, and expressive body language to make the presentation engaging. Eye contact, facial expressions, gestures, and confidence significantly enhance the effectiveness of the speech. Audience participation through questions, anecdotes, or examples also makes the speech more interesting and memorable.
Public speaking is an essential life skill because it develops confidence, leadership, communication ability, and critical thinking. It enables individuals to influence others, present ideas effectively, and participate actively in academic, professional, and social activities. Politicians, teachers, lawyers, managers, business leaders, and social activists rely heavily on public speaking to communicate their ideas and inspire people. Although many individuals experience nervousness before speaking publicly, regular practice, careful preparation, and positive thinking help overcome stage fear and improve performance.
Importance of Dialogue, Group Discussion, Interview, and Public Speech
Dialogue, group discussion, interview, and public speech are four fundamental forms of oral communication that play an indispensable role in personal, academic, and professional life. Dialogue promotes understanding, cooperation, and healthy relationships by encouraging two-way communication. Group discussion develops leadership qualities, teamwork, critical thinking, and problem-solving skills, making it an essential component of recruitment and educational evaluation. Interviews provide organizations with an effective means of selecting suitable candidates while enabling individuals to demonstrate their knowledge, personality, and confidence. Public speaking empowers individuals to communicate ideas persuasively before large audiences and is essential for leadership, teaching, politics, business, and social service.
In today's competitive world, success depends not only on academic qualifications but also on effective communication skills. Mastering these four forms of communication enhances confidence, improves interpersonal relationships, develops leadership abilities, and opens new opportunities for personal growth and professional advancement. Therefore, students should continuously practice dialogue, participate in group discussions, prepare for interviews, and develop public speaking skills to become confident and successful communicators.

UNIT III: PASSAGE FOR COMPREHENSION (UNSEEN), SUMMARY WRITING, PARAPHRASING, AND VOCABULARY
Passage for Comprehension (Unseen)
Reading comprehension is the process of reading, understanding, interpreting, and analysing an unseen passage. It tests a student's ability to grasp the meaning of a text, identify important ideas, understand the writer's viewpoint, infer hidden meanings, and answer questions based on the passage. Since the passage is unseen, students must rely on their reading skills rather than memorized information. In university examinations, comprehension passages are generally followed by short-answer questions, vocabulary-based questions, title writing, and questions that require identifying the main idea or message of the passage.
To answer comprehension questions effectively, students should first read the questions carefully to understand what information is required. Then they should read the passage attentively, paying special attention to important words, names, dates, facts, and transition words such as however, therefore, although, and consequently. After understanding the passage, students should answer the questions in their own words rather than copying entire sentences. Answers should be clear, concise, grammatically correct, and directly related to the questions. While attempting vocabulary questions, students should determine the meaning of words from the context in which they are used instead of relying only on dictionary meanings.
Students often lose marks because they read the passage hurriedly, copy long portions directly from the text, misunderstand the questions, or provide unnecessarily lengthy answers. A careful reading of the passage and proper time management significantly improve performance in comprehension exercises. Regular practice of reading newspaper editorials, magazine articles, and short essays helps develop better comprehension skills.
Summary Writing
Summary writing is the art of presenting the essential ideas of a passage in a brief and precise manner without changing its original meaning. A summary includes only the central ideas and omits examples, explanations, repetitions, quotations, and unnecessary details. It enables readers to understand the main content of a lengthy passage within a short space. Generally, a summary is about one-third the length of the original passage, although the exact length depends on the instructions given in the examination.
The first step in writing a summary is to read the passage thoroughly until its meaning is completely understood. The student should then identify and underline the main ideas while ignoring supporting details and illustrations. After selecting the important points, they should be arranged logically and rewritten in the student's own words using simple and clear language. The summary should maintain the original sequence of ideas and should not include personal opinions or interpretations. Finally, an appropriate title should be given that reflects the central theme of the passage.
A good summary possesses certain qualities. It is brief, accurate, objective, coherent, and complete. It preserves the original meaning while eliminating unnecessary information. Students should avoid copying sentences directly from the passage because this does not demonstrate their ability to understand and express ideas independently. Frequent practice of summarizing newspaper articles, essays, and stories can greatly improve writing skills and examination performance.
Paraphrasing
Paraphrasing means expressing the ideas of a sentence or paragraph in different words without changing its original meaning. It demonstrates the student's understanding of the text and ability to rewrite information using appropriate vocabulary and sentence structures. Unlike a summary, paraphrasing includes all the ideas of the original passage but presents them in a new form. It is widely used in academic writing to avoid plagiarism and to simplify difficult language.
An effective paraphrase begins with a thorough understanding of the original text. The student should replace important words with suitable synonyms wherever possible, change the sentence structure, alter the voice from active to passive or vice versa when appropriate, and reorganize the ideas without changing their meaning. While rewriting, it is important to preserve the author's original message and avoid adding or deleting information. The paraphrased version should be grammatically correct, fluent, and natural.
Students commonly make mistakes by merely changing one or two words while keeping the sentence structure unchanged or by altering the original meaning unintentionally. Successful paraphrasing requires a strong vocabulary and a clear understanding of grammar. Regular reading and writing practice help students develop this important language skill.
Vocabulary Test
Vocabulary refers to the collection of words that a person understands and uses in speaking, reading, and writing. A strong vocabulary enables students to express their ideas clearly, understand complex texts, and communicate effectively. In university examinations, vocabulary tests are designed to assess a student's knowledge of word meanings and their ability to use words correctly in different contexts.
Vocabulary questions generally include synonyms, antonyms, one-word substitutions, idioms and phrases, phrasal verbs, word meanings, fill-in-the-blanks, sentence completion, and contextual usage. Synonyms are words having similar meanings, while antonyms are words with opposite meanings. One-word substitutions replace lengthy expressions with a single suitable word, making communication concise and effective. Idioms are expressions whose meanings cannot be understood from the individual words alone, whereas phrasal verbs consist of a verb combined with a preposition or adverb to produce a new meaning.
To improve vocabulary, students should develop the habit of reading newspapers, magazines, books, and quality literature regularly. Learning a few new words every day, maintaining a vocabulary notebook, using dictionaries and thesauruses, and practicing new words in sentences are effective methods of vocabulary development. A rich vocabulary not only improves examination performance but also enhances communication skills, academic writing, and professional success.
Examination Tips
Success in this unit depends primarily on regular practice rather than memorization. Students should develop the habit of reading English newspapers, editorials, short stories, essays, and articles to improve reading speed and comprehension. During the examination, they should read the passage carefully, identify the main ideas, answer questions in simple and correct English, and avoid copying large portions directly from the passage. While writing summaries and paraphrases, they should use their own words and maintain the original meaning of the text. Continuous practice in vocabulary building through learning synonyms, antonyms, idioms, phrasal verbs, and one-word substitutions will greatly enhance their performance. Proper time management, clear presentation, and grammatical accuracy are essential for securing high marks in Unit III.
