Data & Reporting

Overview

COVID-19 Reporting Update

We have not yet received any official guidance from the US Department of Education regarding 21st CCLC programming or federal data submissions. As such, SCDE and AIR have agreed upon a statewide approach to data collection and submission activities. During this difficult time, flexibility, empathy, and understanding will be exercised. Therefore, any requests for data collection/submission are not, at this time, considered mandatory, but we would like to continue data collection to the extent that you are able and willing. Below, we outline our approach to data collection and submission activities for the remainder of the 2019-20 program year.

Reporting Program Attendance

There are still many questions about 'what counts' in terms of student and adult family member attendance amidst the COVID-19 response. We are still trying to understand the diverse set of approaches programs are taking during this time, therefore we are asking you to use your best judgement as to what types of activities and interactions constitute 'attendance' for a given day. With this in mind, please continue reporting your program attendance through the remainder of the program year.

Reporting Spring Activities

In Activities, we would like to be able to differentiate the Spring activities that happened in person before the school closures and those that are distance learning activities. As such, we ask that you:

    1. Review your current list of Spring activities that happened in person and update the end date to the last date you offered programming in person (likely March 12 or 13).

    2. If you are offering distance learning activities, please add them as a new activity under the Spring term and designate them as a distance learning activity by doing two things:

      • In the activity name, use the following format: Activity Name – Distance Learning (e.g., STEM – Distance Learning).

      • Make sure the start and end dates of the activity are accurate and reflect the school closure dates (it’s likely that no distance learning activities happened prior to March 16).
