QUOTATIONS AND PROVISIONAL BOOKINGS

The Sandton Lodge Rivonia reserves the right to sell or re-quote venues and or accommodation issued as quotations. Quotations are non-binding and in no-way indicate that a provisional hold has been placed on venues or accommodation on behalf of the client, pricing is subject to fluctuation. 


Acceptance of quotations and provisional bookings by clients is by way of securing deposit and are strictly on a first come first served basis, it is not the responsibility of our reservations team to inform you that your quotation or unsecured provisional reservation has expired or that venues or rooms are no longer available.


DEPOSITS & SETTLEMENT

Sandton Lodge Rivonia reserves the right to sell accommodation held as a provisional reservation without a deposit after 48 hours. Purchased Orders as securing deposit will only be accepted from pre-vetted corporate clients who hold an account with the Sandton Lodge Rivonia; it is not the responsibility of our reservations team to inform you that your provisional booking has been cancelled due to non-payment.

CREDIT CARDS

All credit card payments require a signed letter/fax of authorization from the card holder to debit the stated amount from the said card, please request a credit card authorization form from the Loge.  Valid cards are American Express, Visa, MasterCard, and Diners.  This also applies to payment for extras at Sandton Lodge Rivonia if not done by the card holder personally.


CHECK-IN AND DEPARTURE TIMES

Room Check-in/arrival is from 14:30pm daily. 

Rooms are to be departed by 10:30am, should you require a late check-out please request such, dependant on availability, with our reservations desk, please note that a late departure fee may be applicable. 


CANCELLATIONS

Sandton Lodge Rivonia reserves the right to charge the following cancellation fees should a confirmed reservation be cancelled within the following period:


Booking may be cancelled 3 (three) days prior to date of arrival with no charge.

If cancelled later or in case of no-show, one-night accommodation will be charged per room booked. In event of early departure, 100% of original booking will be charged.


Group Bookings of 10 Pax or more are excluded from the above cancellation criteria and are subject to a revised cancellation policy as set out in our “GROUP RESERVATIONS POLICY”. - If cancelled less than 30 days prior to check, 100% cancellation will be charged.


Cancellation fees are calculated on the net rate per person. Please ensure that your clients are covered by a travel insurance policy to offset unforeseen cancellation. All reservation cancellations or amendments are valid only if advised in writing.


BISTRO RESTAURANT, BAR AND ROOM SERVICE

Kindly note that our Bistro Restaurant, Bar and Room Service is closed for Dinner Service over Weekends (Friday/Saturday/Sunday), alternative to which please feel free to make use of Uber Eats or Mr. Delivery services, there is a large selection of Restaurants and Takeaway outlets in the suburb of Rivonia, Sunninghill, Morningside should you wish to dine out, clients on Dinner Rate allowances will be catered for via a choice from Uber Eats.

BISTRO SERVICE TIMES

Breakfast is served from 07:00am – 10:30am daily.

Dinner is available from 14:30pm20:00pm Monday-Friday

Bistro Restaurant is clsoed for Dinner Service over weekends.

NOISE ETIQUETTE

Guests are kindly reminded that the Lodge is located in a residential neighbourhood with direct neighbours bordering the property, in addition there are other corporate clients accommodated on the property, as such note:


No Portable speakers are allowed on the patio, terrace, room-balconies, and garden areas. Consumption of Alcohol is not allowed in the pool area. Please keep noise levels to a minimum to ensure a pleasant environment for all our guests.


KINDLY NOTE We have a zero-tolerance policy towards Noise Complaints – intoxicated/disorderly or disruptive clients will have their accommodation cancelled and will be asked to leave the property our local Morningside SAPS officers are always helpful in this regard. 


SMOKING POLICY

All our Guest Rooms and Public Areas are Non-Smoking, according to South African Health legislation passed on the 30 September 2009 - it is illegal to smoke within 5 meters of any covered patio, terrace, door, or window of any public building. 


ALCOHOL CONSUMPTION:

Please note that the consumption of acholic beverages procured off-site or brought onto the property externally is forbidden with-in in all communal and public areas of the property this extends to areas such as The Main Patio Terrace, Lounge, Restaurant, Conference Venues, Pool area etc. Sandton Lodge Hotel is valid liquor licence holder and we do not allow any liquor brought from outside on to the property.


EVENT CATERING AND SPECIAL DIETARY REQUIREMENTS

The Sandton Lodge Hotel hosts a variety of meals for its meeting or event delegates including meals for specific diets, such as vegetarian, Halal and Kosher.  


Strict Halal and Kosher delegates require meals from a certified external supplier which will be at an additional cost. Final special dietary requirements must be indicated at least 1 (one) week prior to the event/meeting. Alcoholic and other beverages will be charged on a consumption basis.


CONDITION OF RESIDENCE/EVENTS

You warrant that you are duly authorized to sign for and bind all persons represented by you or for whom you are responsible (‘your party’) to these conditions of residence and, failing such authority or regardless of billing instructions, you agree to be personally liable for all amounts arising from the occupation or residence of your party and yourself at the Lodge.


You hereby agree, as a condition of your occupation of or residence at the Sandton Lodge Rivonia, that the owner, manager and or operator of the lodge and their affiliates and respective directors, officers, employees, agents and representatives (collectively ‘Simama Hotel Group’) shall not be responsible or liable for any accident or any injury or death or ill health of any person or the loss or destruction of or damage to any property, whether arising from fire, theft or any other cause whatsoever and by whomsoever caused or arising from the negligence or wrongful acts or omissions of Sandton Lodge Rivonia. You accordingly hereby irrevocably and unconditionally indemnify and agree to hold harmless Sandton Lodge Rivonia in respect of any responsibility and/or liability as aforesaid.


INDEMNITY CLAUSE AND PUBLIC NOTICES

The Sandton Lodge Rivonia, Simama Hotels, the Operator, Proprietors, Managers, or staff under their employ, will not be held liable for any loss of personal items, injury or damage sustained to person or property of the “client” whilst on the premises or with-in the immediate grounds.


The Client and/or Agent remains’ liable for any damage to the property, room, or venue, in addition to any breakage or theft of items from the suite, property or venue for the duration of the period booked.


Please note that our departure time is strictly 10:30AM unless alternative arrangements have been granted. Late Departure fees may apply. Missing or lost Room Keys, lanyards or card holders will incur an R150.00 replacement fee billable to the client.


The Client and/or Agent agrees to these abbreviated and full terms and conditions, and by acceptance of booking is contractually bound to such terms.

Group Reservations and Amendment Policy

DEFINITION “RESERVATION VALUE”

The total amount for the entire reservation as per the last updated reservation value, including conference rooms, hotel rooms, meals, any additional equipment, or services ordered, or the total amount for the number of attendee’s x daily delegate rate.


RESERVATION

A reservation can be made verbally or in writing. The hotel will reconfirm the reservation in writing. The cancellation of a reservation or part of the reservation must always be confirmed in writing.


GROUPS/EVENTS FROM 1 TO 10 PERSONS

Cancellation of the reservation or part of the reservation can be made free of charge up until 2 weeks prior to the first day of arrival. 10% of the last updated reservation value can be cancelled free of charge within 2 weeks up until 12pm on the day prior to the first day of arrival. Cancellations that exceed 10% of the last updated reservation value will be charged with 75%. mAny other changes or cancellations will be charged with 100% of the value of the change/cancellation. Reservations made within 2 weeks of arrival are 100% binding as of the day following the date of the reservation. Any changes or cancellations will be charged with 100%.


GROUPS/EVENTS FROM 11 TO 20 PERSONS

Cancellation of the reservation or part of the reservation can be made free of charge up until 3 weeks prior to the first day of arrival. 10% of the last updated reservation value reservation value can be cancelled free of charge within 3 weeks up until 12pm on the day prior to the first day of arrival. Cancellations that exceed 10% of the last updated reservation value original reservation value will be charged with 75%. Any other changes or cancellations will be charged with 100% of the value of the change/cancellation.

Reservations made within 2 weeks of arrival are 100% binding as of the day following the date of the reservation. Any changes or cancellations will be charged with 100%.


GROUPS/EVENTS FROM 21 TO FULL HOTEL

Cancellation of the reservation or part of the reservation can be made free of charge up until 4 weeks prior to the first day of arrival. 10% of the last updated reservation value reservation value can be cancelled free of charge within 4 weeks up until 12pm on the day prior to the first day of arrival. Cancellations that exceed 10% of the last updated reservation value original reservation value will be charged with 75%. Any other changes or cancellations will be charged with 100% of the value of the change/cancellation.


NO SHOWS (NON-CANCELLED ROOMS)

In case of no-show – if a guest does not show up for the hotel room as per the reservation – the room will be charged in full.


INSURANCE

The hotel has no responsibility for items stored within the hotel property. The hotel will however take responsibility if damage or loss of any item is caused through negligence by the hotel. The organizer of the group/event is responsible of reporting any damage to hotel property.


FORCE MAJEURE

Strike, lockout, fire, delivery restrictions or other circumstances that are beyond the hotels reasonable control, entitles the hotel to cancel the contract without reimbursement. The hotel also reserves the right to adjust the price for taxes/fees, which are beyond the control of the hotel. It is the responsibility of the organizer to ensure that everyone involved in the reservation is aware of above.


When postponing or amending a reservation, any cancellation or downgrading will consider the initial reservation arrival date to calculate modification or cancellation charges. Safety Notice

The safety and security of our guests is very important
to us. Please bear the following safety tips in mind
whilst visiting the beautiful city of Johannesburg.


At the airport, please keep any financial transactions to a minimum. Whether it is exchanging money or drawing money from ATM’s.


Please take notice of your surroundings, ensuring that you are not being followed from the airport.


If you are making use of a taxi service to transfer you through to the hotel/guesthouse, rather use the hotel to arrange this transfer. The hotels/guesthouses use the services of reputed and trusted taxi services rather than random operators.


If possible, give the hotel/guesthouse a telephone call to advise them of your expected arrival at their establishment to ensure that you are not kept waiting at the gate whilst your name/booking is confirmed.


The safety of our guests on the premises is our priority and we do not just open our gates for anyone. Utilise the safes that are in your rooms to keep extra cash and valuable documents, rather carry credit cards and very limited cash.


Keep the telephone number of the hotel/guesthouse with you so that we can assist you at any time in need.


Please be assured that there is not a major problem in our city with pickpockets or muggings, especially in well populated areas and centres, however we would rather you be aware of any risks.


Whilst on our property every measure is in place to ensure that you feel and are safe and secure, please report any concerns that you may have. Thank you for your patronage and assuring you of our best attention at all times.

Generator (Load-Shedding)

Due to the excessive nationwide loadshedding which has necessitated that additional restrictions are placed on our Generating capacity in an effort to keep our Accommodation costs reduced. During our Electricity Provider ESKOM’s planned and/or scheduled Load Shedding (Power Outages) the Sandton Lodge Hotel only operates on Generator Power until 23:00PM in the evenings. Emergency Lighting is provided in-Suite and main public area’s during these periods. Our Security staff are equipped with Torches.


At the discretion of Management, we may further restrict Generator use from 12:00 – 16:00pm on Sunday’s and Monday’s without prior notice. Please note that there is no tap-water available during these “offline periods” due to the municipal pumps being offline as a result of the loading after 23:00pm in the evenings and during the day*. Internet Access/Wi-Fi and in-Suite phones will also be disconnected during these periods in the event of Load Shedding and our Generator being offline.
