MailFlow: Smart Mail Assistant is a native macOS email client that allows users to connect their Gmail account and read, organize, compose, send, trash, and permanently delete email directly from their Mac.
The purpose of MailFlow is to provide a focused desktop email experience without requiring users to keep Gmail open in a web browser.
MailFlow requests access to Gmail only to provide these visible, user-facing email features. The application performs email actions only when initiated by the user.
After connecting a Google account, users can:
View Gmail messages
View message senders, subjects, previews, labels, and status
Search displayed messages
Compose and send new email
Mark messages as read or unread
Star and unstar messages
Archive messages
Move messages to Trash
Permanently delete messages from Trash
Access Inbox, Starred, Important, Sent, Drafts, Spam, and Trash folders
Receive notifications for new messages
Connect and manage multiple Gmail accounts
MailFlow uses the Gmail API to provide its email-management features.
Gmail access is required so MailFlow can:
Read and display the user’s Gmail messages
Display message senders, subjects, previews, labels, and status
Display Gmail folders and mailbox information
Compose and send email requested by the user
Mark messages as read or unread
Star and unstar messages
Archive messages
Move messages to Trash
Permanently delete messages when explicitly requested by the user
MailFlow does not perform email actions automatically. Every email-management action is initiated by the user from within the application.
MailFlow allows users to permanently delete messages from the Trash mailbox.
Permanent deletion:
Is available only from the Trash mailbox
Must be explicitly initiated by the user
Displays a confirmation warning
Is never performed automatically
Cannot be undone after confirmation
Users can choose the safer “Move to Trash” action instead of permanently deleting a message.
MailFlow accesses Google user data only to provide the email features described on this page.
Google user data is used to:
Authenticate the connected Google account
Identify the connected account
Display Gmail messages and mailbox information
Send email requested by the user
Perform mailbox actions selected by the user
Notify the user about new messages
MailFlow does not use Gmail data for unrelated purposes.
MailFlow communicates directly with Google’s Gmail API.
OAuth access tokens are stored securely in the user’s macOS Keychain.
MailFlow never asks users to enter their Google password.
Google passwords are not collected, viewed, or stored by MailFlow.
Gmail data is accessed only to provide visible features within the application.
MailFlow does not sell Google user data.
MailFlow does not share Gmail data with advertisers.
MailFlow does not use Gmail data for advertising.
MailFlow does not use Gmail data to train artificial-intelligence models.
MailFlow does not allow employees or unrelated third parties to read users’ Gmail messages.
MailFlow does not transfer Gmail data to data brokers.
Connecting a Google account to MailFlow is optional.
Before access is granted, Google displays the permissions requested by MailFlow. Users can review, accept, or decline these permissions.
Users remain in control and can:
Choose which Google account to connect
Initiate every email-management action
Cancel potentially destructive actions
Disconnect an account from MailFlow
Remove the locally stored OAuth token
Revoke MailFlow’s access through their Google Account
Stop using the application at any time
Users can disconnect an account through MailFlow’s Settings.
When an account is removed:
Its locally stored OAuth token is removed from the Mac
MailFlow can no longer access that account
The user can reconnect later by completing Google authorization again
Users can also revoke access from their Google Account’s third-party connections page.
MailFlow stores OAuth credentials in the macOS Keychain to keep users signed in securely.
MailFlow does not operate an external email-storage server. Gmail information is requested directly from Google when required to provide the application’s features.
Removing an account from MailFlow deletes its locally stored OAuth token.
The MailFlow Privacy Policy explains how the application accesses, uses, stores, and protects Google user data.
