Youth members & parents: Please be aware that there is some set up work that is required by your leaders before certain functionality becomes available to you. You may find some menu items are locked until this is completed. Please have a conversation with your leaders about how they are going, and please be patient and support your leaders as they set up this all new system.

Leaders: Please have a conversation with your units about how you're going with setting up Scouts | Terrain, and when you're planning to start using Scouts | Terrain at your Unit.

Scouts | Terrain, the new online Scout achievement and record keeping system, is now available for all groups and units in Queensland. Accessible by all leaders and youth members, functionality includes Unit Programming, Outdoor Adventure Skills tracking, Special Interest Area planning, logbook and all of the functions to track your Scouting achievements in all sections. Even if your group is yet to transition to the nYP, we're certain you'll find the Unit Programming, calendar and logbook functions valuable.

All Leaders now have to set up their Groups before Youth Members can start recording and submitting their achievements.

Please be aware that Scouts | Terrain is available for everyone - there is no "opt-in" or "opt-out" available - and is included with your Scouts Membership fees.

Leaders: setting up Scouts | Terrain for your group & Units

To get started in Scouts | Terrain:

  • Ensure SMS is up to date, with all new members added (it may take up to 48 hours for a new member to synchronise from SMS to Scouts | Terrain.

  • Have your records of who is in each unit and patrol updated.

  • Have a list of which awards each youth member has achieved ready to import. If your group is still transitioning to the nYP, you can use "Scheme to Pathways" converter at https://s2p.scouts.com.au/ to map your youth member's achievements from the old award scheme to the nYP.

  • Have your program for Term 4 ready to schedule into the Programming section (all members of your group will be able to see the group's programs)

To get Scouts | Terrain set up you will need to:

  • Create your units and patrols;

  • Assign members to those units and patrols; and

  • Import previous achievements into youth member records; and

  • Set up your program activities.

COMMON Support Questions

What are the most common support requests raised in Queensland so far?

Q: I can't login / my password does not work

A: The initial password for Scouts | Terrain is your date of birth in the format of yyyy-mm-dd (and include the "-"). If that does not work, you can have any other leader in your group reset your password. To reset a password, go to MEMBERS in the menu, then find the person in the members list, and press "RESET PASSWORD" on the far right hand side (you may need to scroll right to see this.

Q: I'm a district / region / branch leader and regularly help run a unit at group. How do I get access to that unit's records?

A: The easiest way is to have any leader at that group you help out at add you as a member of that Unit. Go to MEMBERS > UNITS > (Click on Unit Name) > ADD NEW MEMBER > "Add member from outside your group". They will need to know you Scouts Qld Member number to add you to the group. Once you are added, you will be able to assist that unit just like any other local leader.

Q: I / My Youth / Another leader has a padlock beside ACHIEVEMENT PATHWAYS. How do we remove it?

A: All users are "locked" from updating their Achievement Pathways until they have been allocated to a Unit, and the leader has either loaded prior achievements (data import) or flagged as "Data import not required".

Q: How do I import / award a Peak Award?

A: the ability to import a prior peak award is expected to be available on 2 October. Once youth are using Scouts | Terrain, the ability to complete the Peak Award for their section will be "unlocked" once all other achievements have occurred (i.e. Milestone 3, OAS stages, Adventurous Journey, etc).

Q: What's Scouts | Terrain based on?

A: Scouts | Terrain has been built "from the ground up" specifically for Scouts Australia's Youth Program. It's not based on any other system, nor is it system that has been re-purposed. As a result, it matches our Youth Program exactly.

Q: I've heard a lot on different forums about Pioneer Tracker. Is it the same thing and what's all that about?

A: Pioneer Tracker was a temporary system (borrowed and adopted from another country) used to support the groups who help "pioneer" the (new) Youth Program and is not used by any groups in Queensland. Pioneer Tracker closes at the end of August, so Scouts Australia is currently prioritising those groups in other states who need to transfer away from Pioneer Tracker first.

Q: I love that Scouts | Terrain is designed around "youth leading, adult supporting" but are we really expecting Joey Scouts & Cub Scouts to use it to complete submit their ideas?

A: TwoBulls (the developers) and Scouts Australia are currently developing additional leader capabilities for the younger sections, This is planned to be available when Leaders gain access to the system in September.

Q: I have two (or more) roles in Scouting? How will Scouts | Terrain cope?

A: TwoBulls are developing "Role Switcher" functions to allow people to switch between their different roles (example: A rover who is also a Cub Scout Leader).

Q: How do I (or a new member in my group) get access to Scouts | Terrain?

A: User profile in Scouts | Terrain are created automatically by member records in SMS. Changes in SMS take 36-48 hours to replicate to Scouts | Terrain.

Q: Our group hasn't transitioned to the nYP and we're still using the old program. How will Scouts | Terrain help my group?

A: The programming functions of Scouts | Terrain will absolutely be useful to you - youth and leaders can suggest activities and the program calendar is available to all of your members. Scouts | Terrain also tracks attendance at all activities. That being said now will be a great time to start transitioning your group to the (new) Youth Program as all of the Outdoor Adventure Skills, Special Interest Areas and Milestone tracking. Q: I don't want my group to use Scouts | Terrain

A: Scouts | Terrain is being provided to all groups nationally. There is no option to "opt-in" or delay Scouts| Terrain being available to your members.

Q: I found a bug! Scouts | Terrain isn't working! Help!

A: Scouts | Terrain is a custom built application and has been extensively tested. With all new systems, there is likely to be a few issues that "slip through the net". If you discover a problem, follow the instructions in the "Support" menu in Scouts | Terrain.

Q: Can I have someone come to my DTM or Group Council to train my team on Scouts | Terrain?

A: Contact your local nYP Ambassador for assistance.

Q: I'm missing a member from my group. Help!

A: Scouts | Terrain is synchronised to SMS. First check that the member exists and has an active appointment with your Group in SMS (eg: A District Leader will also need to have a role for your group to appear as a member at your group). If SMS is accurate, and they are still not there, log a support ticket by clicking "Help" in the "Support" menu of Scouts | Terrain.

Q: Can I have youth from other groups on my group's activities?

A: YES. You can program an activity for a "Project Patrol", which means you can have anyone in your group join, along with any other Scouting member from any group in Australia. You will need their Branch Membership Number to add them into your project patrol.

Q: We've just completed an OAS stage 1 as a unit. Does each Joey / Scout / Cub have to submit their own OAS record?

A: No. Leaders can "bulk award" any OAS to stage 3 for a unit. Go to Members > Units > Bulk Award. From there, select the OAS and stage your unit is working on, then complete the check boxes for the youth in that unit that have been completed.
