This Privacy Policy explains how Minutely: AI Meeting Minutes (“Minutely,” “we,” “our,” or “us”) collects, uses, processes, stores, and protects information when you use the Minutely mobile application, Windows desktop application, and related services.
Depending on how you use Minutely, we may process information that you provide, including:
Meeting titles and descriptions
Agenda items
Participant names, organizations, and designations
Meeting venues, dates, and times
Audio recordings recorded within or uploaded to Minutely
Meeting transcripts
Speaker attribution information
Notes
Meeting documents and information extracted from those documents
Generated meeting minutes, summaries, decisions, and action items
Feedback and reports submitted through Minutely
When you create or use an account, we may process:
Name
Email address
Authentication identifiers
Subscription status
Account and usage information necessary to provide the service
Authentication may be provided through Google Sign-In or other supported authentication services.
Minutely allows users to record meetings and upload existing meeting recordings.
Audio may be transmitted securely to speech-to-text service providers for transcription and speaker identification.
Depending on service availability and processing requirements, transcription providers may include:

Minutely may use more than one transcription provider for reliability, recovery, or fallback processing.
The original meeting audio is used for meeting recording, transcription, recovery, and related user-requested functionality.
After transcription, finalized transcript text and relevant structured meeting information may be processed by Anthropic’s Claude or other supported AI services to create professional meeting minutes, summaries, decisions, action items, and related outputs.
Raw meeting audio is not sent to Claude for minutes generation.
Users may attach documents such as agendas, previous minutes, reports, presentations, or other meeting materials.
Text or other relevant information extracted from these documents may be processed to:
Improve transcription accuracy
Provide meeting context
Understand references made during meetings
Improve generated meeting minutes and summaries
Only information required to provide the requested functionality is transmitted to applicable service providers.
Minutely uses third-party AI and cloud services necessary to provide transcription and meeting-minute generation.

The particular provider used may vary depending on the feature, availability, reliability, and processing requirements.
We do not sell meeting recordings, transcripts, documents, or generated minutes.

RevenueCat, where used to manage Android subscription entitlements
Minutely does not directly collect or store your full payment-card details.
Payment information is processed by the relevant app-store or payment platform according to its own privacy policies and terms.
We may use information processed through Minutely to:
Record and transcribe meetings
Identify and distinguish speakers
Generate professional meeting minutes
Produce summaries, decisions, and action items
Generate attendance information
Improve transcription accuracy using participant names, agenda information, and meeting context
Process attached meeting documents
Maintain and restore meeting processing
Manage subscriptions and usage allowances
Provide customer support
Process feedback and AI-output reports
Diagnose technical problems
Protect the service against fraud, abuse, and unauthorized access
Minutely may use cloud infrastructure, including Supabase, to securely store account information, meeting information, transcripts, generated outputs, usage information, and other information required to provide the service.
Meeting audio may also be retained locally on the user's device or processed through cloud infrastructure depending on the feature being used.
We use reasonable administrative, organizational, and technical safeguards intended to protect information against unauthorized access, disclosure, alteration, or loss.
Where information is transmitted over the internet, secure communication methods are used where supported.
We do not sell personal information.
Information may be disclosed to service providers only where reasonably necessary to operate Minutely, including:
Speech-to-text providers
AI processing providers
Authentication providers
Cloud hosting and database providers
App-store and subscription platforms
Email or support-notification services
We may also disclose information when required by law or where reasonably necessary to protect users, Minutely, or others from fraud, abuse, security threats, or unlawful activity.
Meeting recordings, participant names, voices, documents, and transcripts may contain personal information belonging to people other than the Minutely account holder.
Users are responsible for ensuring that they have any consent, permission, or other lawful basis required to record a meeting and provide participant information or meeting materials to Minutely.
Users should inform meeting participants where required by applicable law.
Meeting recordings, transcripts, documents, generated minutes, and related information are retained only for as long as reasonably necessary to provide Minutely's services, comply with applicable legal obligations, resolve disputes, maintain security, or until deleted by the user where deletion functionality is available.
Users may contact Minutely Support to request access to, correction of, or deletion of personal information associated with their account, subject to applicable legal requirements.

Correct inaccurate information
Request deletion of information
Obtain or export certain information
Withdraw consent where processing relies on consent

Minutely allows users to report issues relating to AI-generated meeting minutes and provide product feedback.
When a report is submitted, Minutely may process information such as:

Meeting or generated-output identifier
Report category
Optional description
Application platform and version
Submission time
Minutely does not automatically attach the full private meeting transcript, meeting audio, or complete generated minutes to an AI-output report.
We use reasonable technical and organizational measures designed to protect information processed through Minutely.
However, no internet transmission, electronic storage system, or information-security measure can guarantee absolute security.
Minutely is not intended for children under the minimum age permitted to independently consent to the processing of personal information in their jurisdiction.
We do not knowingly collect children's personal information contrary to applicable law.
Minutely's service providers may operate infrastructure in countries other than the user's country of residence.
Information may therefore be processed internationally where necessary to provide the service and subject to applicable legal requirements and safeguards.
We may update this Privacy Policy as Minutely's functionality, service providers, or legal obligations change.
When material changes are made, we will update the Effective Date and publish the revised Privacy Policy through Minutely or our website.

That would be substantially better aligned with the actual current Minutely product and Microsoft's privacy-policy requirements.
One important point beyond the written policy: Microsoft's current policy also contains consent requirements around publishing/sharing personal information to outside services. Because Minutely can record other meeting participants, the app's actual consent/recording UX should also be reviewed eventually; a privacy policy alone does not automatically satisfy every consent requirement.
