GUIDELINES AND FORMS FOR PROPOSAL DEFENCE

Complete this form to apply to the faculty to run your proposal defense. Submit to postgraduate coordinator (via email) at least 3 weeks before the date of proposal defense. This is the only form that a student needs to complete when he/she applies for proposal defence.
Guideline of the conduct of proposal defence.
Proposal defence confirmation report will be completed by the Chairperson and to be submitted to CGS by the Dean's office.
The individual discussant form is to be completed by each discussants and to be submitted to the Dean's office.
This is the rubric for proposal defence evaluation to be completed by the Chairperson. Students applying to do their proposal defence is advised to use this rubric as a guide when you prepare your documents for submission The passing mark is 60%.

Change of research title, appointment of co-SV, deferring your study
Change thesis title
Procedures to change thesis title. Write to CGS (see above sample). After your SV has signed the letter, send the letter to Mdm Rowena Abdullah (arowena@unimas.my), cc. to Dr Haslina Hashim, the postgraduate coordinator (hahaslina@unimas.my). Mdm Rowena will send the document to CGS with a memo from the Dean's office. Once the change is approved, you will receive a notification from CGS. Email the revised proposal (with the new title) to Mdm Julianne Jeli (jjulianne@unimas.my) for CGS's record.
Appoint co-SV
Procedure to appoint co-SV. Appointment of co-SV needs to be done via the Dean's office. Here are the steps: (1) Supervisor draft a memo (see above sample); (2) send the memo to Puan Rowena at Dean's office (3) Dean Office will send out the letter with a memo to CGS.
Deferment of study
Procedures to defer study. (1) Write a letter using the template above; (2) get your SV to sign and support your intention to defer your study; (3) Send the letter to Puan Rowena to be processed by the Dean's office. Dean's office will send the letter to CGS.
Maintenance Fee & Reporting your Publication during Candidature (1 for Master, 2 for PhD)
Form to report publication: Complete this form to report your publication to CGS. A Master's candidate is required to publish 1 paper; a PhD candidate must publish 2 papers to successfully graduate from the program.
Maintenance fee: Applicable to students whose thesis is ready for examination. Note that thesis submission alone does not qualify for a maintenance fee. This is because your thesis needs to go through format checking, fixing the format, and resubmitting for another round of format checking. Only after the format is in order, the thesis will be submitted to the examiners for review. And only after that, the study is eligible for maintenance fee.
Effective Intake Semester 1, 2021/2022 (October 2021), students must publish their papers in Scopus-indexed journals or journals of higher indexing.

RESEARCH ETHICS
This is the workflow of ethics clearance review by the Main Committee in UNIMAS. There are two levels of vetting: Faculty will endorse low-risk projects while the Main Committee reviews high-risk projects.
Complete this form and submit to the Human Research Ethics Committee (HREC) at hrec@unimas.my. CC the email to your SV. When you submit this form, you must also submit the research instrument, the participant information sheet (PIS), and the Informed Consent (IC).
