Work with a team to identify organizational stakeholders to include
Communicate to participants about steps in the process and overall progress
Consider the complex dynamics of facilitation, including:
How to facilitate without leading with your own views
How a facilitator is not absent of stakes and perspectives on the issues, even when they are tasked with balancing the group dynamic
How the idea of “neutrality” is embedded in society, and affected by perceptions about whose voices are neutral - and how this affects marginalized groups
When communicating the details of the process, the facilitator should note that:
Participation is voluntary and all questions are optional.
There is no compulsory aspect of participation; not participating will have no negative effect on their relationship to the organization.
Customize survey template and distribute survey to participants
Arrange reflection meeting(s) and documentation (note-taking, etc.)
Create a report of key elements of meetings, survey responses, and follow-up actions determined and/or suggested in group sessions
We have provided a template for an optional Survey on Organizational Grievance Reporting Procedures. The survey is meant to foster reflections on the organization’s current policies and procedures and prepare participants for the group discussion. The facilitator should note that the decision not to participate in the survey will not affect an individual’s eligibility to participate in the reflection discussion meeting.
