1. The Business Challenge (The Problem)
The client, a growing construction firm, managed all project stages manually, leading to significant visibility issues and delays, particularly when tasks hit a critical roadblock.
• Problem 1 (Lack of Visibility): Management had no instant, organized view of the four key construction phases (Preliminary, Escalation, Walling, Roofing, etc.).
• Problem 2 (Slow Escalation): Critical issues (e.g., failed inspections, material delays) were not immediately flagged to the Chief Officer, causing unnecessary project downtime.
• Problem 3 (Inefficient HR): The client required a digital, automated system for job applications that seamlessly integrated with their task management platform.
2. The Solution (My Technical Implementation)
I designed and implemented a two-part solution within Monday.com to establish a centralized Project Management Office (PMO) and automate all key team communications.
A. Construction Management Board
I built a custom board structure tailored to the client's exact workflow, complete with defined task ownership for the team members
• Critical Escalation:
• Automation: WHEN Status changes to [Stuck], THEN send a detailed email notification directly to the Chief.
• Business Impact: Reduced Risk and guaranteed zero-delay alerts for project blockers, cutting downtime.
• Workflow Cleanup:
• Automation: WHEN Status changes to [Done], THEN move the item to the Completed group.
• Business Impact: Increased Efficiency by keeping active lists clean and providing accurate completion metrics.
• Real-Time Alerting:
• Automation: WHEN Status changes, THEN send a personal notification to the project manager via Slack.
• Business Impact: Improved Communication by integrating the workflow into the team's primary communication channel for rapid response.
B. Recruitment Pipeline Workspace
I created a separate, dedicated workspace and board to handle HR activities, ensuring sensitive applicant data was siloed from daily construction operations.
• Custom Form View: Developed a clean application form for candidates (eliminated unnecessary columns like 'Status').
• Automation: WHEN a form is submitted, THEN send an instant email notification to the recruitment specialist with the applicant's name and a direct link to the new item.
