Committee Responsibilities
1. Membership Recruitment
Develop strategies to actively recruit new members, including parents, teachers, staff, and community members.
Organize membership drives at the beginning of the school year and during key events (e.g., back-to-school nights, PTA meetings, open houses).
Create promotional materials such as flyers, brochures, and social media posts to encourage participation.
2. Membership Enrollment & Registration
Manage the enrollment process by creating and distributing membership forms, both paper and online.
Collect membership dues and ensure proper tracking of payments through PTA-approved systems.
Maintain an accurate and up-to-date database of all PTA members, including contact information, payment status, and membership type (e.g., parent, teacher, community member).
3. Welcome & Orientation for New Members
Plan and host welcome events or orientation sessions for new members to introduce them to the PTA’s mission, goals, and activities.
Provide information about the benefits of PTA membership, such as involvement opportunities, access to PTA events, and connections with the school community.
Ensure new members feel welcomed and informed about how they can participate in PTA initiatives.
4. Member Engagement & Retention
Create programs and activities to keep members engaged throughout the school year, including special events, volunteer opportunities, and informational sessions.
Encourage ongoing participation in meetings, committees, and school events to foster a sense of community and involvement.
Reach out to current members to renew their memberships for the following school year.
5. Promote the Value of Membership
Communicate the benefits and importance of PTA membership to potential members through newsletters, social media, and presentations.
Highlight how PTA membership supports the school, students, and community through advocacy, funding, and volunteer work.
Share success stories, achievements, and how membership contributions make a difference in school programs and resources.
6. Create Membership Materials
Develop and distribute marketing materials, such as posters, membership forms, email templates, and social media graphics, to promote joining the PTA.
Ensure that all materials are clear, concise, and align with the overall branding and messaging of the PTA.
Keep printed and digital materials updated with the latest membership information, event details, and contact info.
7. Organize Membership Events
Plan and execute special events aimed at boosting membership, such as membership appreciation nights, community socials, or themed drives.
Coordinate with other PTA committees to integrate membership recruitment into school events like family nights, fundraisers, and school fairs.
Offer incentives for joining, such as raffles, discounts, or giveaways for members who join during specific events or timeframes.
8. Report Membership Numbers
Track and report membership numbers regularly to the PTA board and general membership.
Provide reports on membership growth, retention rates, and demographics (e.g., parent vs. teacher memberships).
Submit membership data to the state or national PTA as required for record-keeping and compliance.
9. Coordinate with State & National PTA
Stay informed of any changes or updates from the state or national PTA regarding membership guidelines, dues, and policies.
Submit membership dues and required forms to the state or national PTA within designated deadlines.
Utilize resources and toolkits provided by the state and national PTA to support recruitment and engagement efforts.
10. Member Recognition & Appreciation
Recognize and celebrate members who contribute to the PTA, whether through volunteering, donations, or involvement in programs.
Host member appreciation events or provide tokens of gratitude (e.g., certificates, small gifts, special shout-outs at meetings).
Highlight members' efforts through newsletters, social media, or school-wide announcements to build a sense of community and appreciation.
11. Volunteer Recruitment & Placement
Identify volunteer opportunities within the PTA and school, and communicate them to members.
Match members with volunteer opportunities that align with their skills and interests, helping them find meaningful ways to contribute.
Ensure members are aware of how they can help with events, programs, or committees throughout the year.
12. Feedback & Evaluation
Gather feedback from current members through surveys or suggestion forms to understand their needs, interests, and how to improve their PTA experience.
Use the feedback to refine recruitment efforts, engagement strategies, and membership benefits for the following year.
Review membership growth and engagement at the end of the school year to identify successful strategies and areas for improvement.
13. End-of-Year Review & Planning
Provide an end-of-year report to the PTA board summarizing membership achievements, challenges, and recommendations for the next school year.
Start planning for the next year's membership drive by analyzing trends, updating recruitment materials, and setting new membership goals.
Recruit committee members for the following year to ensure continuity in membership efforts.
