Everything you need to know to use MyPlanPA effectively
MyPlanPA IMPLEMENTATION
Section 1: DATA INTEGRATION / CSV UPLOADING PROCESS
Preparing User Accounts:
Method 1: Data Integration through OneRoster API
Step 1: Download and Sign our MyPlanPA Data Integration Documentation
Step 2: Obtain Signature from Superintendent or Designee
Step 3: Submit Information Data Sharing Credentials via secure transfer
MyPlanPA will automatically sync with your Student Information System for learner account management, updating enrollment status, enrollment dates, etc.
Method 2: CSV Upload
Step 1: Login to MyPlanPA
Step 2: On Side Menu, select Administration Side Menu, choose "Import Student Data" under 'Admin' (for System Admin Roles Only)
Step 3: Download and Fill out CSV Template with necessary district data, save and upload on the same "CSV Upload Page" (Note - New Data will merge with existing records according to the following rules below)
Follow Directions on Import Data Page.
Prepare the following data import fields:
Demographic Information: School Name, Student ID, Last Name, First Name, Grade Level, BirthDate, School Email, Graduation Year, Enrollment Status
Grad Pathway Data: Algebra Keystone, Biology Keystone, Lit Keystone, Algebra Course Grade, Biology Course Grade, or English Language Arts 10 Course grade, PSAT, ASVAB scores
Other Possible Data Uploads in the future:
Portfolio and WBL artifacts mapped to CEW standards
PA Future Ready Index: Credentials: Credential Name, Provider, Cluster, Date Earned, Work-Based Learning, Cluster, Date Completed
New records will be created for learners that have no existing record.
Existing records will be updated for newly entered information.
In the case of scores and grades, if prior scores are higher they will remain in effect unless manually changed.
Also note: Blank columns are ignored and do not delete existing data.
CSV Data Uploads:
Preparing Data for Uploading
Make sure to include Student ID Numbers in data reports
Delete Unnecessary Rows (Only include StudentRefId and the specific data columns you are importing)
Do not include other information like name or status or school name unless you are intentionally trying to change them.
Delete any rows of blank data from your data set.
Organize your Data Sheet to be in same order as the Template
Copy and Paste data into modified csv template (See instructions below)
Steps to successfully upload data:
1. Navigate to MyPlanPA Menu item labeled “Admin”
2. Click on “Import Student Data”
3. Click on the blue link “Click Here to Download CSV Template”
4. Open the Template in your preferred spreadsheet software
5. Option A (when uploading a small quantity of data)
Navigate to learners’ data row
Enter new data or make changes
Save and export as .csv
Upload to the MyPlanPA by clicking “Choose File,” selecting the file, then clicking “Import Selected File.”
Review changes on MyPlanPA to ensure data was properly updated
Option B (When uploading a large quantity of data)
On the Template, Keep Header Row 1, but delete / clear all other rows of student data
Also Delete all unnecessary columns (Keep StudentRefId Column and only the Necessary Columns)
Note* All data uploads must have StudentRefId Column
Copy and paste your data onto the csv template in the appropriate columns
Save and export as .csv,
Upload to the MyPlanPA by clicking “Choose File,” selecting the file, then clicking “Import Selected File.”
Review changes on MyPlanPA to ensure data was properly updated

Section 3: MyPlanPA Portfolio Bulk Upload
MyPlanPA Portfolio Compliance Bulk Artifact Upload
Get report of Portfolio data from School Districts program of choice and put into spread sheet
Make sure Student RefID from the school district is included as a column
Organize and match artifact activities to PA Career and Work Standards
Make sure to freeze Header Rows containing Activity names, description, and Standard met and Sort Activity column in ascending order
Copy the Student RefIDs that have a “Yes”
Go to MyPlanPA Learners Page, Paste copied ID's, and press “Select by Student RefID”
Then press “Batch Portfolio Upload” and fill in the proper information and either Upload artifact or URL of Artifact Description.
Repeat steps above until completed with all artifacts.
NOTE: In order to not duplicate artifacts when bulk uploading, The Activity Selection, Item Description, and Artifact Name need to be identical so when performing bulk uploads, ensure your team is using consistent language so as to decrease the risk of artifact duplication when uploading bulk artifacts for entire grade levels over time.
Section 4: MyPlanPA SITE CUSTOMIZATION
MyPlanPA Configuration Page
Customize each 'choosable' list contained in MyPlanPA through going to MyPlanPA/config
Go to 'Manage Lists' option under the Admin Menu Options
Select List Type
Click "Add Item" in order to add something to the corresponding list.
Edit, Delete or Hide items from list. (List items for which student data exists will need to be hidden from chosen lists instead of deleted. These items will still show for student accounts that have previously chosen that option, however, it will not display as a newly choosable item.)
Settings
Control system-wide settings with a single click. Simply navigate to 'Settings' option under the Admin Menu and make your desired selections for your school district's needs.

Section 5: MyPlanPA IMPLEMENTATION
Train Your Team
Each district has a demo student named Peter Plan 1. Send your team the link to the MyPlanPA Help Center and have them watch Videos 1 - 4. Have them login and experiment with your demo student account, or login to your actual school system.
Establish who on your team will be responsible for:
Site Administration: Person who manages site user roles, list management, and overall program implementation.
Data Integration: Person or people who manages csv uploads, ensures new Keystone Scores, Trigger Course Grades, PSAT, SAT, and ASVAB Scores and other relevant data is updated.
Career Planning: Counselor, Advisor, or Classroom Teacher that works with learners to ensure career plans are current.
Portfolio Management and Reporting: Counselor, Advisor, or Classroom Teacher who works to ensure compliance with ACT 339 Career Portfolio Completion and Reporting.
Graduation Pathway Management and Reporting: Establish team members who will oversee the planning of pathways, and the person or people who will follow-through in implementing the necessary work-based learning activities for evidence-based pathway completion, as well as other items for the other pathways. Use the Graduation Pathway Dashboard and Report to make plans and to start the process for assisting learners on their journey to and through graduation.
Work-Based Learning Management and Reporting: Person or team of people (Administrator, Counselor, Classroom Instructor, Work-based Learning Coordinator) who will oversee internships, cooperative education, job shadowing, and industry recognized credentialing.
Section 6: LEARNER ROLL OUT
LOGGING IN:
OPTION A: Have learners navigate to myplanpa.com on any device and login using their school Google Account.
HIGH SCHOOL
Self Directed Method: Have learners watch videos 1 through 7 above, have them pause videos to perform instructions.
In Person Method: Meet with learners one on one, small group, in a classroom, or in a large group to have them complete sections of MyPlanPA. This process is most effective when led by caring and knowledgeable adults that can encourage learners to make choices and selections based on their current interests, skills, and abilities. Keeping in mind the purpose of helping the school connect learners with opportunities aligned to their first or second choices in careers.

Section 7: REPORTING
Utilize MyPlanPA for producing reports in the following areas.
- Career Choices
Click on Reports - Career Data - Filter by name, grade, school, enrollment status, first or second choice cluster. Sort by any of the columns.
Email Selected learners for certain opportunities.
Export Data to PDF, CSV, Excel
- PostSecondary Choice Data
Utilize Interactive Dashboard to see groups of learners who have chosen particular postsecondary choices
Postsecondary report will be forthcoming in the future, including the learner, current postsecondary choice, institution of higher learning choices, majors, and percent complete with Postsecondary Planning Checklist.
- 339 Portfolio Compliance and Career Plan Implementation Artifact
Utilize Either the Interactive Dashboard or the Portfolio Report to access the current status of portfolio compliance.
Align and customize portfolio checklist items to your district's vision for portfolio implementation by utilizing the Admin tool menu item named "Customize Lists."
- ACT 158 Graduation Pathway Reporting
Implement a workflow for planning, completing, and reporting on graduation pathways to meet ACT 158 requirements in Pennsylvania.
Utilize the Graduation Pathway Workflow Report to work through planning and implmenting the pathway evidence collection.
Upload necessary data utilizing the Admin Item named "Upload Student Data."
Run Graduation Pathway State Report to check current status of the district as well as to make State Report for Grad Pathway.

- Work-Based Learning Reporting
Utilize MyPlanPA work-based learning tools to implement Internships, Cooperative Education Placements, Job Shadows, and Service Projects. Each of these work-based learning activities has all required elements to successfully run a work-based learning program aligned to state requirements and recommendations.

Navigate to each learner's work-based learning main page to set up new internships or c0-ops.
Utilize Industry Recognized Credentials Page to document participation in and earning of credentials with built-in Appendix A requirements from the State for LEA decisions on usable credentials.
Utilize Short-Term Career Activities page to log other work-based learning activities.
Section 8: PARENT ROLL OUT
Navigate to the Learners List
Select the Learners you want to invite parents to have MyPlanPA access.
Click 'Invite Parents'
Parents will receive an email invite to join and will have access to view their child's account. They will also have the ability to edit certain pertinent pages on their child's MyPlanPA account, such as adding meeting notes, adding notes to the PostSecondary Planning Page, and ability to enter information in selected work-based learning pages.
