You have a Microsoft 365 subscription, and now you want to download the apps and start using them. The good news is that the Microsoft 365 setup is simpler than it looks. In most cases, your subscription is tied to your account, so activation happens when you sign in. This guide shows you how to download your apps, activate them, check that your subscription is working, and fix small problems if they come up. Everything is in simple words, so you can follow along at your own pace.
A Microsoft 365 subscription is different from a one-time Office purchase. You pay for a plan, such as Personal, Family, or a business plan, and the plan stays linked to your Microsoft account. While your subscription is active, you can use the apps, get updates, and often enjoy extra features like cloud storage.
Here is the simple idea:
Your account holds your subscription.
The apps (Word, Excel, PowerPoint, Outlook, and more) are installed on your device.
Signing in tells the apps that your subscription is active.
So the order is easy: get your account ready, download the apps, and sign in.
Not always. This is a question many people have, so here is a quick guide:
Bought directly from Microsoft while signed in? Your subscription is usually already linked to your account. No key is needed.
Bought a card or a key from a store or an online seller? You will need to redeem the key once. This is done at Microsoft365.com/setup, where you sign in and enter your 25-character key.
Got it from work or school? Your organization usually gives you access through your work or school account. Sign in with that account instead.
If you are not sure which one applies to you, check your purchase email. It usually makes it clear.
A little preparation saves time. Keep these ready:
Your Microsoft account email and password. If you do not have an account, you can create one for free.
Your product key, if you bought a card or a key.
A steady internet connection. The apps download online.
Free space on your device. Office needs several GB, so clear space if you need to.
Time. Give yourself about twenty calm minutes.
Quick tip: If you have an older Office version on your computer, it can be a good idea to remove it first. This helps the new apps install without conflict.
Open your browser and sign in to your Microsoft account. Use the same email address you used when you bought your subscription, or the one you plan to link it to.
If your subscription came from a key, go to Microsoft365.com/setup first, enter your key, and follow the steps. Once the key is accepted, your subscription is saved to your account, and you can move on.
After you sign in, look for your subscription in your account. It is usually in the services and subscriptions section.
Here you can see:
The name of your plan
Your renewal or end date
Install options for your apps
Other people who share your plan, if your plan allows sharing
If you do not see your subscription, check that you are signed in with the right email. Many people have more than one account without realizing it.
When you find your subscription, choose the install option.
Select the install button next to your Microsoft 365 plan.
Choose the language and version if asked. The default choice works for most people.
Download the installer file.
Open the file when the download ends.
Let the installer run until it finishes. This can take a few minutes, so please be patient.
You can also use this process on a Mac. The installer file is different, but the steps are almost the same.
Now comes the easy part. Open any Microsoft 365 app, such as Word or Excel.
Accept the license terms if the app asks.
Sign in with the same Microsoft account that holds your subscription.
Wait a moment while the app checks your subscription.
That is it. Signing in is what activates your apps. You do not need to type a key again.
It is nice to be sure everything is working. Here is a quick check:
Open Word or another Microsoft 365 app.
Click File, then Account.
Look under Product Information.
You should see your product name and a message that it is activated. If you see this, you are all set and can start using your apps.
Many plans let you use Microsoft 365 on more than one device. The rules depend on your plan, but the process is simple:
Sign in to your account on the new device.
Choose the install option for your subscription.
Download, install, and sign in to an app.
Some plans, such as a family plan, also let you share your subscription with other people. You can add them from your account, and they get their own space to sign in. Your plan details show how many people and devices are included.
Use the same account every time. This keeps your subscription easy to find.
Write down your email address and keep it somewhere safe at home.
Keep your device updated. Updates help apps install and run smoothly.
Use a strong connection. A steady internet connection makes downloads much faster.
Restart when you finish. A quick restart often helps apps open without problems.
Do not rush. Take it one step at a time.
Do not worry. Most problems have simple solutions.
You cannot find your subscription.
Sign in with other email addresses you use, since your plan may be linked to a different account.
The key is not accepted.
Check for typing slips, such as the letter O and the number 0. Also make sure the key matches your region and was not already used.
The app says you need a license or the product is unlicensed.
Sign out of the app, sign back in with the correct account, and check that your subscription is still active in your account.
The install gets stuck.
Restart your device, free up space, check your internet connection, and try again.
The download is slow.
Close other downloads and tabs, move closer to your router, or try again at a quieter time.
You reach your device limit.
Your plan may have a limit on active devices. You can sign out of a device you no longer use and try again.
Some people enjoy setting things up on their own. Others would rather have someone guide them. If you are in the second group, we are happy to help.
