MGfC Match Day, Onboarding, & Policies

The Pediatric Residency Administrative Team would like to provide a glimpse into some of the documentation and hospital-wide requirements, policies, and expectations to give applicants a better understanding of the administrative aspect of residency. 

Additionally, there is a lot of onboarding paperwork and tight deadlines that happen between Match Day and your first day at your Matched Institution. This page is meant for transparency of our processes and what to potentially expect from most institutions. 

Match Day & Onboarding

Deadlines & Dates to Prepare for

March 18th, 2024 Submit the intake form sent to you by the Onboarding Manager
This quick turnaround time is set by the hospital and is required for all training programs.

14 Days After Receipt Limited License Application
You will receive an invitation code from the credentialing team. This is what will allow you to practice medicine in the state of MA.
Because the Massachusetts Board of Registration in Medicine (BORIM) has to onboard all trainees in the state of MA, the process is lengthy The sooner you submit your paperwork, the better. Any delays in submission may delay your training start and end date. 

BEST PRACTICE: Always download a PDF copy of your completed forms. 

No Later than June 22 Occupational Health Appointment & Paperwork
You will be required to set up a medical record number first and then make your mandatory appointment - so they can clear you to work.

Required Vaccination Records You Will Need to Submit
Tuberculosis Screening and Chest X-Rays
One of the following is required:

Documentation of 2-step TB testing: #1 within 1 year of screening date and #2 within 3 months of screening date

OR

Measles, Mumps, and Rubella Immunity Required

One of the following is required:

Documentation of two measles vaccines, two mumps vaccine, and one rubella vaccine or documentation of two MMR vaccines, 

OR

Proof of immunity to measles, mumps and rubella by titer (blood test)

Hepatitis B Vaccine

For individuals who may be exposed to blood or body fluids during their experience at MGH:

Documentation of the hepatitis B series and

AND

Positive antibody test for hepatitis B

  *MGH will provide this vaccine free of charge to individuals who may be exposed to blood or body fluid during their work at MGH.*

 
Chicken Pox

     One of the following is recommended:

Documentation of 2 doses of Varicella vaccine

OR

Proof of immunity to Varicella by titer (blood test)  

Tetanus

All Residents/Clinical Fellows are required to have a documented Tdap.  Up-to-date Tdap/Td is recommended.


Influenza
MGH requires all employees to receive a seasonal flu vaccine.  MGH has a mandatory mask policy for those not vaccinated against seasonal influenza due to an approved medical or religious exemption.


COVID-19 Vaccination
If you have received one or both doses of the COVID-19 vaccine, please bring documentation that includes the manufacturer and date of vaccination.

June 10, 2024 First Day of Orientation for the Pediatric Residency
Orientation will be held in person on the MGfC Campus. Details will come in late May.

Current CV – must be updated as follows:

o   Month/Year (2024) format

o   List your residency as your current job Ex: Pediatric Resident from 06/2024 - present

o   Your medical school graduation needs to be listed as “Graduated” not “expected to graduate”

o   We are unable to make this edit for you and your CV will be rejected if you do not follow these requirements.

Hospital Credentialing (meaning giving you the ability to work in the hospital)

(must submit within 14 days of receiving it. Failure to do so will result in a delayed start time)

Limited License (your license to practice in MA)

Please start this process immediately. The processing of every application is very slow and delayed submissions could affect your ability to start training on time.  

You will be required to create a username and password for their online system, known as eLX

Human Resources (this will come to you closer to your start date)

In this email, they will ask you to complete an I-9, which is used to verify identity
You will be asked to complete online modules before your first day of work, and is required of all new employees.
