Terms and Conditions

1.  Acceptance of Terms

By submitting a registration, making payment, attending the Conference, exhibiting, sponsoring, speaking at, or otherwise participating in #LYIS27, the relevant party confirms that they have read, understood, and agree to be bound by these Terms and Conditions in full.

These Terms govern the relationship between LYIS (the organiser, a UK limited company), the Delegate (any attendee), and, where relevant, the Venue (Canadian International School, Phnom Penh), Vendors, and Sponsors.

2.  Payment Terms

Full payment is required at the time of registration. Payment must be received within 30 days of registration and at least 14 days before the conference commencement date, whichever is earlier. Accepted payment methods are: credit card, bank transfer, PayPal, Alipay, and WeChat Pay. All bank charges or transaction fees are borne solely by the remitter. LYIS must receive the full registration fee net of any charges.

3.  Cancellation and Refund Policy

All registration fees paid to LYIS are strictly non-refundable. By completing registration and making payment, the delegate acknowledges and accepts that no refund will be issued under any circumstances, including (without limitation) cancellation by the delegate, inability to attend, visa or travel disruption, illness, or any other reason.

No-shows: Where a delegate fails to attend without prior written cancellation, the full registration fee is forfeited.

4.  Transfer of Registration

In the event that you are unable to attend the Conference, you may substitute someone in your place subject to the following administration fees:

•    Member-to-Member transfers: no fee.

•    Guest-to-Guest transfers: USD 25 administration fee.

•    Member-to-Guest transfers: Price of ticket difference to LYIS plus USD 25 administration fee.

•    Guests may not transfer their registration to an LYIS Member. LYIS Members must purchase their registration directly from LYIS.

Transfer deadline: 26 February 2027 (14 days prior to the conference). Transfers requested after this date are at LYIS’s sole and absolute discretion.

5.  Rescheduling, Postponement, and Cancellation by LYIS

LYIS reserves the right, where reasonably necessary, to postpone, reschedule, relocate, modify, shorten, extend, cancel, or convert the Conference to an alternative format. LYIS shall use reasonable endeavours to provide notice of any such change as soon as reasonably practicable. LYIS accepts no liability whatsoever arising from any such change, including (without limitation) any indirect or consequential losses, or any costs relating to travel or accommodation incurred by any party.

6.  Programme Changes

LYIS reserves the right, at its sole discretion and without liability, to amend the conference programme, agenda, schedule, format, venue within Phnom Penh, speakers, workshop content, session titles, timings, moderators, exhibitors, sponsors, catering arrangements, networking events, or any other aspect of the Conference at any time. Such changes shall not constitute grounds for cancellation, compensation, damages, refund, or reduction of fees.

7.  Speaker Cancellation and Substitution

LYIS does not guarantee the attendance, participation, or availability of any advertised speaker, presenter, facilitator, panellist, sponsor, exhibitor, or special guest. LYIS reserves the right to substitute speakers or modify programme content without notice and without liability. No refund or compensation shall be payable in respect of any speaker cancellation, substitution, or programme amendment.

8.  Travel, Visa, and Entry Requirements

Delegates are solely responsible for obtaining all visas, permits, vaccinations, travel authorisations, passports, and other documentation required to enter Cambodia and attend the Conference. Failure to obtain such documentation shall not entitle the delegate to any refund, compensation, credit, or transfer.

9.  Health and Medical Responsibility

Delegates attend entirely at their own risk and are solely responsible for determining their fitness to travel and attend the Conference. LYIS accepts no responsibility for any illness, injury, medical condition, communicable disease, epidemic, pandemic, or medical emergency affecting any participant before, during, or after the Conference.

10.  Liability, Indemnity, Lost Property, and Insurance

10.1  Liability Waiver

LYIS accepts no liability for loss, damage, theft, personal injury, or death sustained by any delegate, vendor, sponsor, or attendee during or in connection with the conference, howsoever caused. All delegates attend entirely at their own risk.

10.2  Limitation of Liability

To the fullest extent permitted by applicable law, LYIS’s total aggregate liability arising out of or in connection with the Conference shall not exceed the amount of the registration fee paid by the affected delegate. Under no circumstances shall LYIS be liable for any indirect, consequential, incidental, special, exemplary, reputational, punitive, or economic loss, including loss of earnings, loss of opportunity, loss of contracts, loss of goodwill, travel expenses, accommodation costs, or business interruption.

10.3  Indemnification

Each delegate agrees to indemnify, defend, and hold harmless LYIS from and against any claims, damages, costs, or expenses arising from that delegate’s actions, any breach of these Terms, or damage caused by the delegate to the venue or any third-party property.

10.4  Lost or Stolen Property

LYIS accepts no responsibility for any property that is lost or stolen. Delegates must not leave valuables unattended.

10.5  Insurance

Registration fees do not include insurance of any kind. It is the sole responsibility of the delegate to arrange adequate personal, health, travel, and property insurance to cover any and all risks associated with their attendance at the Conference.

11.  Photography, Recording, and Live Streaming

By attending #LYIS27, delegates consent to being photographed and/or filmed by LYIS or its appointed representatives for promotional, marketing, and archival purposes.

•    Delegates may take personal photographs or short video clips (maximum 60 seconds) for non-commercial, personal use only.

•    Recording of sessions in their entirety or for extended duration is prohibited without prior written permission from LYIS.

•    Live streaming or broadcasting of any element of the conference is prohibited without prior written approval from LYIS.

•    Any third party wishing to live-stream any aspect of the conference must obtain prior written approval from LYIS.

12.  Intellectual Property

All conference materials, presentations, recordings, branding, publications, graphics, trademarks, logos, workshop content, and educational resources remain the exclusive intellectual property of LYIS or their respective owners. No delegate may reproduce, distribute, publish, record, upload, sell, repurpose, transmit, or commercially exploit any conference content without prior written consent from LYIS.

13.  Data Protection and Privacy

LYIS processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Conference photography and filming is conducted on the basis of LYIS’s legitimate interests.

The following transparency measures are in place:

•    Clear signage is displayed at the venue entrance and at registration desks advising that photography will take place.

•    A written notice that photography will occur is included in the registration form, the conference programme, and all pre-event correspondence.

•    Delegates who do not wish to be photographed or filmed may opt out by wearing an opt-out sticker or wristband (provided at registration), by informing a LYIS staff member, or by emailing LYIS in advance of the event.

•    Photographers and videographers will be clearly identifiable (for example, by wearing LYIS Lanyards).

LYIS will not sell delegate personal data to third parties. These Terms incorporate LYIS’s Privacy Policy by reference. 

14.  Code of Conduct and Delegate Conduct

Delegates shall not engage in conduct which may reasonably be considered discriminatory, defamatory, harassing, threatening, abusive, disruptive, unlawful, unethical, or damaging to the reputation of LYIS, its officers, staff, volunteers, speakers, sponsors, exhibitors, venue partners, or fellow delegates. LYIS reserves the right to remove from, or refuse admission to, the conference any delegate whose behaviour breaches this standard. No refund will be issued in such cases. All delegates must comply with the lawful instructions of LYIS staff and venue security personnel at all times.

15.  Governing Law and Dispute Resolution

Commercial matters (including ticket purchase, payment, refunds, and all financial terms) are governed by the laws of England and Wales. Disputes on commercial matters shall be referred, in the first instance, to good-faith negotiation and, if unresolved, to the courts of England and Wales.

On-site matters (including conduct at the venue, liability for injury or property damage, and compliance with local regulations) are governed by the laws of the Kingdom of Cambodia.

16.  General Provisions

16.1  Force Majeure

For the purposes of these Terms, Force Majeure includes, without limitation, acts of God, natural disasters, flood, fire, epidemic, pandemic, war, terrorism, civil unrest, labour disputes, governmental restrictions, border closures, transportation disruption, utility failures, venue unavailability, or any circumstance beyond LYIS’s reasonable control. Where a Force Majeure event occurs, LYIS may cancel, postpone, relocate, suspend, shorten, extend, modify, or convert the Conference to an alternative format without liability. The refund provisions in Clause 3 shall apply where the Conference is cancelled.

16.2  No Reliance

Each participant acknowledges that they have not relied upon any statement, representation, promise, forecast, marketing material, speaker announcement, programme description, sponsorship representation, or expectation other than those expressly set out within these Terms.

16.3  Amendments

LYIS may update these Terms at any time. Material changes will be communicated to registered delegates in advance of the conference.

16.4  Entire Agreement

These Terms, together with the LYIS Privacy Policy, constitute the entire agreement between the parties with respect to attendance at #LYIS27 and supersede all prior representations, negotiations, or understandings.

16.5  Severability and Survival

Any provision found invalid or unenforceable shall be severed only to the minimum extent necessary, and all remaining provisions shall remain in full force and effect. The provisions relating to liability, indemnity, intellectual property, governing law, dispute resolution, data protection, and reputation protection shall survive the conclusion, cancellation, or termination of the Conference.

17.  Additional Terms

[This section is reserved for supplementary terms that may be added prior to or during the conference, including sponsor obligations, workshop-specific conditions, and exhibitor requirements. Further provisions will be communicated to relevant parties in advance.]
