LITTLEHAM HUB - TERMS AND CONDITIONS OF HIRE
The Littleham Hub, owned by PCC Littleham Exmouth is run by a voluntary committee
for the benefit of the local community.
Efficient running keeps the fees low and helps everyone.
1. Users must make themselves, and their members, aware of the fire safety procedures.
2. Hirers must keep within booking times and allow time for setup and clear up.
3. The centre must be vacated by 11pm. Please keep sound levels down.
4. Parking is at the vehicle owner’s risk. Do not block access for emergency services. Take great
care as access is shared by vehicles and pedestrians.
5. Cleaning
a. Hirers must ensure the centre, including kitchen and toilets is left clean and tidy, with
furniture left as found.
b. Cleaning equipment is provided. For your own safety clear up spillages as they occur.
c. Please wash and return any Leisure Centre tea towels used. [in an envelope to the Post
Box is fine]
d. Do not leave rubbish or food in the centre.
e. The Committee reserves the right to charge for removal of any rubbish/waste left in or
outside the centre by the hirer or for any extra cleaning required.
6. Hirers must secure windows, turn lights off, and lock doors before leaving.
7. The heating is set on a timer. Please leave as found. Regular hirers requiring different heat
levels should contact the committee. A thermostat situtated near the entrance to the main hall
may be adjusted by users. Please return it to the original temperature before leaving. Portable
electric heaters are not allowed.
8. No license is held for the sale of alcohol. There is to be no under-age drinking of alcohol.
9. Any breakages or damage must be reported as soon as possible. The hirer may be required to
pay costs for any damage.
10.Animals (except guide dogs) are not permitted on the premises
11.Hirers are responsible for ensuring that any equipment they bring to the premises is safe.
Smoke machines are not allowed in the Centre.
12.Do not allow young children in the kitchen. Do not allow under-18s in the centre unattended.
13.Hirers agree to take full responsibility for the welfare of the children, young people and/or
vulnerable adults who attend the event they are organising and that they will take all reasonable
steps to prevent harm to children, young people and/or vulnerable adults. Littleham Leisure
Centre accepts no responsibility or liability because of hirers failure to comply with this.
14. The Committee will reserve the right to refuse requests for hire by groups or for activities
which in its opinion, are either contrary to the purposes and beliefs
of the Church of England, or where it considers that such use or activities
may cause offence, on grounds of their religion or belief, to a significant number of Christians.
15. The Committee accepts no responsibility for personal loss or injury whilst on the premises or
in the car park. It is recommended that tables are carried by two people and that ladders are
used with care. Lost property will be kept for 4 weeks.
16.The Committee can cancel bookings any time. Pre-payments would be returned.
FEES
• All fees are due in advance. [payment details on booking form]
• Regular hirers: Bookings paid for, but cancelled by giving at least 7 days notice, will be
credited.
• One-off bookings: The full fee is due on booking, but will be returned (except for a £10 admin
fee) if cancelled at least 7 days before the event.
• An additional fee of £10 will be charged for excess rubbish remaining or damage.
• £12.40 per hour
There may be a reduction for bookings over 6 hours.

LITTLEHAM HUB IMPORTANT FIRE SAFETY PROCEDURES
We have four fire extinguishers which are checked annually:-
2 Water extinguishers (at top left & bottom right of hall near fire exits.)
2 Co2 extinguishers (at entry to kitchen and just outside the Office door suspended in the corner to the right.)
• Our safety lighting is also checked annually.
• We have installed a fire horn.
• We have put up extra safety notices
• All regular user groups are to carry out fire drills at least annually
• Everyone booking the hall for a one- off event will be made aware of fire safety procedures and of
their responsibility to comply with these.
FIRE PROCEDURE FOR ALL USERS
All users, regular or casual, are required to make themselves aware of the fire safety procedures.
These include: Organiser to ensure all attendees to the meeting are recorded.
Be aware and be clear that all users are aware of the location of the 4 Fire Exits and be aware of
anyone present who might need special assistance should evacuation of the building be
necessary.
Keep all fire doors clear, inside and outside, at all times.
Ensure someone has a mobile phone and is prepared to call 999 if a fire breaks out.
Use the fire horn and any other signal to alert all users to evacuate the building via the nearest
available fire door should a fire break out.
Tackle the fire only if you know how to use the equipment and you can do so without putting
yourself at risk.
Assemble your group in the car park and take the register or otherwise determine everyone is
present.
Do not return until the fire officer tells you that it is safe to do so.
REGULAR USERS Delegate a responsible person to manage your fire procedure.
Take time to inform all your members of the procedure to follow in case of fire.
Carry out a fire drill as soon as possible and then at least annually.How quickly can you evacuate
the premises? Were you sure everyone was safely outside? Did any problems arise?
