Terms and Conditions
At Incspire Creations, we understand that plans can change. Our cancellation and rescheduling policy is designed to be fair while allowing us to prepare materials, reserve inventory, and allocate staff for your event.
A booking is only confirmed once:
A completed booking form has been received.
Your quotation has been accepted.
The required non-refundable booking deposit has been paid.
Until these requirements have been met, your preferred date cannot be guaranteed.
A non-refundable deposit of 50% of the total booking value is required to secure your event date.
As many of our experiences include customised materials, personalised products, and reserved event dates, deposits are non-refundable.
The remaining balance must be paid no later than 7 days before your event, unless otherwise agreed in writing.
If final payment is not received by the due date, we reserve the right to cancel the booking and retain the booking deposit.
Your booking deposit will be retained.
Any additional payments made beyond the deposit will be refunded, less any costs already incurred for customised items or special orders.
The booking deposit remains non-refundable.
Any customised or personalised items already produced will be charged in full.
Additional payments may be refunded at our discretion after deducting applicable costs.
Due to the preparation involved, cancellations made within 14 days of the event are non-refundable, and the full booking amount remains payable.
We understand that unexpected situations may arise.
Clients may request to reschedule their booking subject to the following conditions:
Requests must be made in writing.
The new event date is subject to availability.
At least 14 days' notice should be provided where possible.
Approved rescheduled bookings must take place within 6 months of the original event date.
Only one complimentary reschedule is permitted per booking. Additional date changes may incur an administration fee.
Many of our experiences include personalised items made specifically for your event.
Once production has commenced, customised products cannot be cancelled, exchanged, or refunded.
This includes, but is not limited to:
Personalised vinyl names
Custom transfers
Specially ordered patches or charms
Event-specific materials
Custom printed designs
Final guest numbers must be confirmed no later than 3 weeks before the event.
Additional guests may be accommodated (not guaranteed) subject to stock availability and additional charges.
If guest numbers decrease after final confirmation, refunds will not be provided for materials already prepared or purchased.
Any change of venue must be communicated as soon as possible.
Venue changes may result in:
additional travel fees
revised setup times
updated quotations where applicable
If the event starts later than scheduled due to circumstances beyond our control, we will make every reasonable effort to accommodate the delay.
However, the booked service period cannot always be extended, particularly if we have other commitments.
For outdoor events, the client is responsible for providing suitable cover and protection from rain, excessive wind, and direct sunlight.
If weather conditions make it unsafe or impractical to operate our equipment, we reserve the right to relocate the experience to a suitable indoor or covered area.
All equipment, display items, tools, and styling décor supplied by Incspire Creations remain our property at all times.
The client accepts responsibility for any loss or damage caused through negligence or misuse by guests during the event.
We shall not be held liable for cancellations or delays caused by circumstances beyond our reasonable control, including but not limited to:
severe weather
natural disasters
government restrictions
strikes
power outages
venue closures
civil unrest
illness or emergencies affecting key personnel
Where possible, we will work with the client to reschedule the event.
We love capturing the beautiful experiences created at our events.
Unless the client requests otherwise in writing before the event, photographs and videos of our setup and completed creations may be used for marketing purposes on our website and social media platforms.
We will always respect requests not to feature identifiable guests.
While every reasonable care is taken during our experiences, participation is at the client's and guests' own risk.
Children should be supervised by a responsible adult where appropriate.
Our team will operate all specialist equipment, including heat presses and other machinery, unless otherwise stated.
By paying the booking deposit, the client acknowledges that they have read, understood, and agreed to these Terms & Conditions.
