Instructions for Authors

Abstract submission guidelines


A. General information

  • Submissions are limited to maximum 2 page abstracts and will be assigned to one of the conference topics. The assignment will be done by the Scientific Committee but authors can already indicate their suggestion during the submission system if such an option is available.
  • Submitted work may be presented either as a poster or as an oral presentation, after selection by the Scientific Committee based on the final program. The preference whether authors would like an oral or a poster presentation will be done through the submission system.
  • POSTER SIZE: max Width 0.80m x Height 1.10m.


B. Guidelines for Abstract Preparation

Abstracts should be up to 2 pages long (strict limit), including the title, names and affiliations of all co-authors, following the TEMPLATE provided for Microsoft Word (.docx file).

Figures, tables and a few references may be included, if considered necessary.

The final submission should be in PDF format. Original source files may be requested from corresponding authors for typesetting purposes.


C. Instructions for EasyChair Abstract Submission

9th HeCrA conference is powered by the free conference management system EasyChair. In order to submit your contribution you should follow the instructions below:

If you already have an EasyChair account from another conference, you can use that account to submit a paper to 9th HeCrA.

1. Apply for an EasyChair account at the conference EasyChair website.

  • You will have to indicate your name, give a password and a valid e-mail address.
  • You will then receive a confirmation e-mail.
  • To continue, click the embedded link.
  • Complete the sign-up process by filling out your account information and clicking ”create my account”.


2. Log in to the EasyChair system when you are ready for the submission.


3. For submitting a new abstract, please follow exactly the next steps:

  • Click the "New Submission" link on the top-left corner.
  • Fill in the names, affiliations, postal and email addresses of all co-authors and indicate the corresponding authors accordingly. All these fields are mandatory.
  • Paste in the provided text areas a title and abstract of your contribution. Please, notice that only plain (ASCII) text is accepted in those fields.
  • Provide at least 3 (and up to 5) representative keywords for your contribution. If more than 5 keywords are entered the Scientific Committee may arbitrarily select which will be included in the final form of the abstract.


4. Upload your abstract (in .PDF format).

  • Until midnight (Greek time) of the abstract submission deadline (Monday, 9 September 2018), you may modify the uploaded abstract file. No modification will be possible afterwards.
  • Upload the .PDF file of the abstract by clicking on the “choose file” button in “Upload Paper” section. Do NOT click on “Abstract only“ if such an option is available.
  • Complete the process by clicking “Browse” and find the corresponding file (in pdf). Click “Submit Paper” to finish.
  • You will then be taken to your paper’s main page which will have several links in the top right hand corner. Here, you have the options to update or withdraw your submission until the submission deadline.
  • To submit an updated version of your paper or abstract, click “Update Information” and attach your updated paper or abstract. The version that will be considered for reviewing will be the one deposited here at the time of the submission deadline.
