Organization of Library Materials
All materials: books, periodicals and audio visual, are organized according to the Dewey Decimal Classification (DDC) system using Arabic numerals to represent a subject.
Every book on the shelves bears the Classification Number label at the spine of the book corresponding to the Call Number found at the catalog card.
All books are arranged in the shelves in consecutive order, from small
to large numbers, left to right and top to bottom arrangement.
The general reference and stack books are accessible to the clienteles. Filipiniana and textbooks are not readily accessible and are located in the Reserved Section.
Periodicals are located in the Periodical Section and Audio Visual materials are in the Faculty Section.
The Card Catalog
The Card Catalog is the key to the library collection. It is used to locate books and other library materials. It is a Union Card Catalog where the Author card, Title card, and Subject card are filed alphabetically in the cabinet of trays.
How to use the Card Catalog:
1. Look into the author, title or subject card entries.
2. Take note of the Call No., the author and the title of the book.
3. Proceed to the stack area in locating the copy or bring it to the Circulation Clerk to find it.
4. When the book is found, the clientele will bring it to the circulation counter for record filing.
5. If the book is not located, the help of the library personnel may be sought.
The Online Library Catalog (OPAC)
How to Access the HCCB Library Online Catalog (OPAC):
1. Access Search Template: Click on the desired option (e.g., Title).
2. Enter Title: Type in the desired title and press ENTER.
3. Select Book Title: Choose the book title from the search results and press ENTER.
4. Retrieve Details: Copy the call number and book location. Proceed to the shelves to locate the book.
Reminder: If you're unfamiliar with using the library's online catalog, don't hesitate to seek assistance from the library staff.
These steps offer a straightforward guide to accessing the catalog and finding the desired book efficiently.
Who can use /borrow library materials.
The following are allowed to use/borrow library materials from the library:
a. All bona fide students of HCCB with validated Borrower’s Card.
b. HCCB faculty and administrative staff.
c. HCCB alumni, visiting scholars and researchers from private and government agencies may be allowed to use the library with the permission of the Chief Librarian.
Borrowing of Library Materials
a. For HCCB students, a school ID is presented when borrowing library materials.
b. For HCCB alumni, visiting scholars and researchers, present referral letter and I. D. to the Chief Librarian.
Rules of Conduct Inside the Library
As soon as the clienteles enter the library, the following rules of conduct are to be observed:
1. Upon entering the library, you are required to log-in/sign an attendance logbook.
2. SILENCE in the library is to be observed at all times.
3. Eating, smoking, whistling, laughing, loud talking, dragging the chair and napping are not allowed inside the library.
4. Books and other library materials are to be handled with care and therefore, use them properly.
5. Stack books should be returned at their proper places.
6. The library should be kept clean at all times. Trash cans are provided should be used properly.
7. The chair should be pushed against the table upon leaving the library.
8. Stealing, mutilating books, vandalism and tearing of pages are strictly prohibited
9. Courtesy is to be observed at all times in requesting for library materials from the library personnel and in dealing with others inside the library.
10. The librarian can be consulted about any problem regarding library resources.
1.An“Open”shelf system is used for general references such as encyclopedias, dictionaries, periodicals and individual references located at the stack area. Anybody could access and browse these materials.
2. A “Close” shelf system is used for individual references and textbooks that are assigned by the faculty for reservation.
Procedure in borrowing books and other materials.
1. The client gets the Book Card from the Book Pocket.
2. He/She will fill up the column of the Book Card: the date, name and the course.
3. He/She brings the book, the accomplished Book Card and together with her/his school ID to the Charging Desk.
4. The Circulation Clerk will inspect the book, the Book Card and the LBC if they are properly filled up.
5. The Circulation Clerk keeps the book card with the student’s ID for record file.
6. The clientele inspects the condition of the book: the cover, the pages and the illustrations if they are complete.
Book Retrieval Systems.
The Union Card Catalogue is used in searching for a particular book. The following are the procedure:
1. Look into the author, title or subject card entries.
2. Take note of the Call No. (Classification and author numbers) and present it to the circulation in-charge for the books to be retrieved from the stack shelves.
1. General Reference Books such as encyclopedias, dictionaries, atlases, yearbooks, etc. are to be used inside the library only.
2. Reference Books (specific references) are to be used inside the library and can be brought out only for photocopying for about 30 minutes.
3. Textbooks are issued for a two-hour use inside the library and may be borrowed for OVERNIGHT use and are not renewable.
4. Religion books maybe borrowed for three days.
5. Fiction books are to be borrowed for two weeks & renewable for another week.
6.Filipiniana books are to be used inside the library only.
7.Periodicals and Journals are to be used inside the library only.
For overdue books, the following fines are imposed:
1. Stack books = A fine of P10.00 is imposed for the first hour of delay and P1.00 each succeeding hour or a maximum of P20.00 per day.
2. Reserved books = A fine of P15.00 is imposed for the first hour of delay and P2.00 for each succeeding hour or a maximum of P30.00 per day.
Borrowing Policy for Faculty and Staff
1. Books for classroom texts are to be borrowed for one (1) month and should be in line with subjects taught.
2. Books for research are to be borrowed for one (1) month and renewable for one week.
3. Books for other purpose are to be borrowed for one (1) week and are not renewable.
Requirement: 1. Presentation of a duly signed “official subject loads” from their respective department.
The following are considered as offenses and to be meted with Respective disciplinary actions:
A Promissory Note to lead an “exemplary conduct” is to be executed by the student after serving the suspension so as to be reinstated in enjoying the library privileges again. Procedure in Case of Loss or Damage of Book/s by the Clientele:
1. The client reports to the Charging Clerk of its loss.
2. One (1) week grace period be given for the clientele to find the book/s lost.
3. If after one week the book is not found, the client is to replace the book.
4. If the book is damaged by the user, the client is to replace the book.
5. If the book with the same subject matter could not be found in the local bookstores, the client is obliged to pay for the said copy.
6. The price of the book, plus 5% for freight and handling, is the cost of the lost book.
7. The client pays for the lost book/s at the Cashier’s Office.
8. The receipt for the payment is presented to the Circulation Clerk for records purposes.
Multimedia Service
1. Computer Laboratories are open for access to all academic staff and students.
2. Computer Laboratory is mainly used for school academic students and research purposes.
3.A Computer Laboratory entry card is provided to the students and academic staff. The laboratory in-charge will check the entry card before entering the laboratory.
4. Always keep the computer laboratory clean. Students are not allowed to eat/drink inside the laboratory.
5. Observe silence. Refrain from disturbing other laboratory users.
6. Do not tamper or delete any installed program, data files and other computer laboratory settings.
7. Playing computer games is not allowed inside the computer room.
8. Printing documents which is not for academic purposes is not allowed.
9. Do not move any equipment, computers, sockets and cables from the original setting.
10. If computer problems or malfunctions occur, report immediately to the laboratory in-charge.
11. All academic staff and students must follow the HCCB Computer Laboratory Rules and Regulations. Any computer user who does not follow can be suspended or permanently excluded from using all services of HCCB Computer Laboratory and is required to pay for the cost of any damage or loss.
Periodical Service
Periodicals such as pamphlets, journals, magazines, newspapers and clippings are located inside the Stack Section. Periodicals and vertical files are accessible to the clientele.
Periodical Policy:
1. Periodicals, bound or loose copies, are to be read in the periodical section.
2. News clippings are to be used inside the library only.
Procedure in the Use of Vertical File
1. Use the 5” x 8” subject card index of news clippings in finding the subject of research.
2. Take note of the File Nos. of the clippings posted in the index.
3. Go to the Vertical File and use the File Nos. in locating the clippings.
4. Pull out from the folders the clippings that bear the file numbers.
5. Use the news clippings inside the periodical section only.
6. Bring the clippings to the periodical section in-charge after using for her to return it to its proper place.
Photocopying Services
A photocopying machine is available at the first floor of the College Building for photocopying of material that could not be brought out for home use.
Policy:
1. Bringing out of books for photocopying is limited to one (1) hour only.
2. A fine of P2.00 shall be imposed for every hour of delay in returning the book/s.
Procedure for bringing book/s for photocopying:
1. The client presents to the Circulation Clerk the book/s to be photocopied together with his/her Library Borrower’s Card.
2. The client accomplishes the Book Card of the book/s which are presented to the Circulation Clerk.
3. The Circulation Clerk checks the accomplished Book Card and inserts this inside the LBC jacket.
4. A 3” x 5” Photocopying Slip will be handed to the client together with the book/s to be photocopied.
5. The client presents to the photocopier the 3”x 5” Photocopying Slip for record & file purposes.
6. The client returns the book/s with the Photocopying Slip to the Circulation desk and claim back his/her Library Borrower’s Card.
Audio Visual Service
1. The Audio Visual Area is located at the Virtual Library Room.
2. The Audio Visual Area is available for access to all academic staff and students.
3. The Audio Visual Area is mainly used for school academic studies and research purposes.
4. An entry card is provided to the students and academic staff. The virtual library in-charge will check the entry card before entering.
5. Always keep the Audio Visual Area clean. Students are not allowed to eat/drink inside.
6. Do not tamper or delete any installed program, data files and other computer settings.
7. Do not move any equipment, computers, sockets and cables from the original setting.
8. If problems or malfunctions occur, report immediately to the virtual library in-charge.
9. All academic staff and student must follow the HCCB virtual library procedures, rules and regulations.
10. Any user who does not follow can be suspended or permanently executed from using all services of HCCB Library and is required to pay for the cost of any damage or loss.
User Education Service:
1. Orientation Service
Orientation program on library services is conducted every
beginning of the school year in coordination with the different
Deans and Department Heads. It is scheduled by the college at the
school function hall.
The Library orientation includes reader’s guidance such as; rules of
conduct and policies inside the library, retrieval system (how to use the
card catalog), borrowing and lending procedures, bibliographic references,
photocopying service and other related services offered by the library.
2. A Library Guide Handbook.
Library guide booklets will be issued to the first year college
students and transferees for guidance information and guidance.
3. Announcement of new acquisition.
The arrivals of new acquisition are disseminated to the different deans and department heads and are posted on the bulletin boards for the information of the library users. Every library activity is posted on the bulletin board. After books are accessioned, classified and catalogued,
they are ready for circulation and the teachers and students are informed of the new acquisitions through the following:
1. Procedure in the Announcement of New Acquisition:
1.1. A list of new acquisition is prepared and arranged according to discipline.
1.2. A written communication is sent to the different deans/department heads informing of its new materials ready for their use.
1.3. New acquisitions are displayed at the New Arrival shelf for students and teachers to browse.
Provisions for security and control measures to safeguard the library resources.
1. A charging desk is used to keep records of materials borrowed by library users.
2. A student aid is assigned to check the outflow of materials and inspect things brought outside by the library users upon leaving the library area.
3. Installation of fire extinguisher.
