Class Parent Responsibility Guidelines

Thank you for volunteering as a class parent. Your role is to act as a liaison between your child’s class and the PTA. The requirements and responsibilities of serving as a class parent are the following:

 

You must be a paid member in good standing of the PTA for the 2023-2024 school year.

At least one class parents must attend all PTA meetings. You can rotate attendance between class parents if necessary. Please encourage your parents to attend PTA meetings to keep informed about upcoming events and activities.  We have evening and day meetings throughout the year to be flexible with parents schedules.

The role as a Class Parent is very important to the success of the school year. Each class parent should have a designated role. Please choose these roles as soon as possible; a brief description of each is as follows: 

The Lead Class Parent will relay information and requests between the teacher and parents as well as create the class list.  

The Treasurer will be responsible for collecting the class funds from each parent and will manage expenses for the class. 

The Party Coordinator will be responsible for checking the Safe Snack List on www.safesnack.com two weeks prior to a party and sending out a sign-up sheet via signup genius or a donation web site they are familiar with. 

 

All class parents are to meet their teacher prior to “Meet the Teacher Night” to discuss class events for the year; please understand that parental involvement within the classroom and class celebrations are at the discretion of the teacher. Please be aware of the District Wellness Policy prior to making party plans.  

 

At “Meet the Teacher Night,” ask your teacher to give the class parents a few minutes to introduce yourselves to the other parents. Prior to “Meet the Teacher,” please distribute the welcome letter/waiver form and an envelope for class funds.  Have extra waiver forms and envelopes on hand at “Meet the Teacher” for those who forgot.

 

Helpful information:

Class List- this list contains each child’s name and personal information. (The class list is confidential and for PTA business only). Please keep your class list updated throughout the year and distribute an updated list to the entire class should anything change. Each parent has to sign a “waiver form” to give permission for their child’s information to be given out. With permission, their child and information can be listed on this class list, which is helpful for establishing play dates, etc.  Without permission, please just include child’s name. 

Class Fund-. These funds, which is $20.00 per student this year, will be will be used for class parties, crafts, class baskets and teacher gifts. This one-time expense should eliminate the need to ask for additional funds at the end of the year and to avoid class parents paying out of their own pocket for classroom expenses.  

Class Parent Waiver Form- This is located at the bottom portion of your class welcome letter. Please try to collect this form from every parent at the end of “Meet the Teacher Night.” You will use this information to prepare your class list that will be distributed to all parents who want to participate in party and play date exchange of information only. Please make your class lists and submit the forms immediately to HarleyAvenuePTA and J.Carriero1120@gmail.com . Parents can also sign up for PTA Email Notification to receive weekly email updates. Since the district has gone green, this is the only way for them to keep informed on all matters involving the PTA. We need as close to 100% participation if possible! 

 Prior to each event, the class parents must remind the parents what they volunteered for and when it is needed. Class funds may be used to purchase items needed ONLY if donations are not arranged.

 Harley PTA Tax Exempt Form- A copy of this form should be used for all classroom purchases. Please email Sabrina if you need a copy of this form. 

Other Important Things to Know:

Class Baskets- Each class will be responsible for providing a prize basket for the PTA Parents’ Night Out fundraiser.  Class parents will coordinate and gather items to make their respective baskets for the fundraising event. Details on your class basket will be sent out in the upcoming weeks.


Harley Pictures- Being a Class Parent is truly a privilege. For the most part, you are the only parents with access to the class for parties, field trips and other special events. It is your obligation to take photos of every single child in the class throughout the year! You are also responsible for providing the Yearbook Committee with a picture of every child in the class for the yearbook. Group shots of 4-5 children work best. Photos can be uploaded directly to the yearbook website. Information will be emailed to you later in the year. It is VERY important that each child is represented in the yearbook and as class parents this is one of our most important responsibilities. The yearbook committee and/or Harley PTA executive board will be checking in several times throughout the year to be sure pictures are taken of all students. 


Please check the website or Facebook page regularly for the most up-to-date information. There is a special section just for Class Parents in case you misplace any of the items you received today.
