This guide will help you learn how to clock in and out, view your schedule, check client care needs, and document your shift using the Caretime EVV system.
Open the Caretime app on your smartphone or tablet.
Enter your username and password provided by the agency.
If you forget your login, contact the office for a reset.
Go to your assigned shift on the app.
Tap Clock In when you arrive at the client’s home.
The system will record your time and location (required by state EVV).
Always clock in from the client’s location—not before you arrive.
From the home screen, select My Schedule.
You’ll see:
Date and time of upcoming shifts
Client’s name and address
Shift notes (if applicable)
Confirm your shifts daily to stay on track.
Open your scheduled shift and tap Care Plan / ADLs.
Review the client’s individualized care needs before starting. This may include:
Bathing, dressing, grooming
Meal preparation
Medication reminders
Mobility assistance
Companionship & activities
Mark tasks as you complete them during the shift.
Tap into Shift Documentation or ADL checklist.
Record services provided in real time (or before clocking out).
Enter notes if needed—such as changes in client condition, mood, or concerns.
If you notice something urgent (e.g., client health change, injury), call the office immediately.
When your shift ends, go back to your shift in the app.
Confirm all ADLs are documented.
Tap Clock Out.
The app will verify your time and location.
Double-check that your shift is submitted successfully.
✅ Always clock in and out on time.
✅ Document as you go, not hours later.
✅ Be specific in notes (e.g., “client ate 75% of lunch” vs. “client ate well”).
✅ Protect client confidentiality—never share information outside the app or office.
✅ Call the office if you have trouble clocking in/out or completing documentation.
If the app ever fails (like no internet), write down your in/out times and tasks on paper and notify the office right away.
