Refund Policy
Good Shepherd Old Catholic Theological Seminary
We value integrity, accountability, and fairness in all financial matters. This Refund Policy outlines the conditions and procedures governing refunds for tuition, fees, and other related charges. It is designed to ensure that both students and the Seminary maintain clear mutual understanding regarding financial responsibilities.
1. General Principle
Refunds for withdrawal or deferment are subject to this policy and are processed only after the student submits a formal written request to the Seminary Administration. Students dismissed for disciplinary or academic reasons are not eligible for any refund. All refunds will be made in accordance with the time of withdrawal, the administrative costs incurred, and the Seminary’s established guidelines.
Note: The Application Fee and Acceptance Fee are strictly non-refundable under any circumstance, as they cover administrative and processing costs.
2. Withdrawal Before the Semester Begins
Students who formally withdraw before the official commencement date of the semester are eligible for a partial refund of tuition and applicable fees.
A written withdrawal request must be submitted and approved prior to the semester’s start date.
Refunds will be made minus a standard administrative fee, which covers documentation, processing, and communication costs.
The refund amount may vary depending on the method of payment and bank or transfer charges.
3. Withdrawal After the Semester Has Begun
Once the semester officially begins, no tuition or fee refunds will be granted, regardless of whether the student has reported to campus or participated in any class activity.
This policy is necessary because faculty, materials, and institutional resources are allocated and reserved for enrolled students at the start of each term.
4. Deferment of Studies
Students who request a deferral of studies before the semester begins may have their tuition transferred to the next available session, provided:
The request is submitted at least one week before the official resumption date.
The student pays the administrative transfer fee, which will be communicated by the Registrar.
Deferrals granted beyond this timeframe will be treated as withdrawals and will follow the withdrawal policy above.
5. Administrative Fees and Processing Time
All approved refunds are subject to an administrative processing fee. This fee covers clerical, banking, and communication costs associated with refund transactions.
Refunds are processed within 30 business days after approval.
Payments will be made to the same account used for the original transaction, unless otherwise authorized in writing by the student.
6. Special Circumstances
In exceptional cases—such as serious illness, death of an immediate family member, or other compassionate grounds—the Seminary Council may consider a partial refund or credit on a case-by-case basis. Proper documentation must be submitted to support the claim.
7. Institutional Cancellations
If the Seminary cancels a course or program for any reason (e.g., low enrollment, unforeseen institutional decision), students affected will receive a full refund of tuition for that particular course or term.
8. Sponsorship and Scholarship Refunds
Sponsored Students: If a sponsor or benefactor withdraws support after the semester begins, the student remains responsible for all outstanding balances.
Scholarship Recipients: Scholarships are not redeemable for cash and cannot be refunded or transferred.
9. No Refund for Disciplinary Dismissal
Students dismissed for disciplinary reasons or for violation of Seminary rules are not entitled to any refund of tuition or fees for the semester in progress.
10. Acknowledgment
All students are required to read, understand, and sign the Refund Policy acknowledgment form upon registration. By completing enrollment, the student agrees to abide by all financial and administrative terms set forth in this document.
