BINGO Volunteers
Trained Positions
Games Manager
Must be licensed by the State of Colorado via a computer training class and test. Cost is $20 and you will be reimbursed by the Boosters. This position is responsible for supervising all volunteer positions and ensures players and workers follow rules and conduct themselves appropriately. The Games Manager oversees all operations of the BINGO night including cash flow, security management and customer service.
Primary responsibilities:
Supervise the gaming area; monitor players and workers to ensure no cheating is occurring.
Remove players who are cheating or acting inappropriately.
Address customer complaints.
Coordinate security and alert them to issues.
Coordinate with Pickle Bar Manager and Bookkeeper on duties respective to their responsibilities.
Caller
The person who calls the numbers as they are drawn at random by the BINGO machine. The caller is responsible for calling the bingo games (from a script) as well as any side games also played during the session. Caller training takes two BINGO sessions, to allow the caller to understand the various positions, lingo, and to become familiar with guests. Callers should have a somewhat thick skin as our players take the game very seriously!
Bookkeeper
This position is responsible for overseeing all money transactions. This includes counting out the money to each register, awarding the BINGO payouts and double checking all pickle bar sales. The Bookkeeper will enter all games results in BingoDocs software and work very closely with the session Games Manager. Bookkeepers are signers on the bank account and are responsible for picking up starting cash and writing checks for nightly expenses for their assigned session. This role requires at least 3-4 training sessions.
Lead Cashier
The Lead Cashier works closely with the Bookkeeper to ensure registers and sales are run accurately as well as handling BINGO payouts. This position trains other cashier volunteers, balances the registers at the end of sales and assists the bookkeeper in counting cash throughout the night and for deposit at the end of the session.
Pickle Bar Manager
This person is responsible for running the Pickle Bar and ensuring volunteers are properly trained. The Pickle Bar Manager works with the Games Manager to determine which side games to play during the evening, sets up the Pickle Bar at the start of the session, counts and records sales for each game played throughout the evening, provides documentation and cash to the bookkeeper, updates the reorder form to ensure the following week's session has enough supplies, and packs up the Pickle Bar at the end of the night.
Additional Positions
pickle bar Volunteers
These volunteers sell additional side games, help players understand the games, and identify bingo and side games winners to the caller. Pickle Bar volunteers will sell supplies, special and progressive game sheets, and pull tabs. Volunteers also help set up and tear down the Pickle Bar and count cash as games sell out.
The Pickle Bar is a fast-paced environment where players spend additional money for the opportunity to increase their chances of winning by buying additional play sheets, cards for BINGO side games, and pull-tab games. It's never boring but requires some specific skills:
Mathing: You’ll need to be quick at those tough math equations like 20-(3+3+3+1+1+1+1+1).
Organization: Each game must be kept separately for accurate bookkeeping. If a player gives you $20 and wants 5 tickets from three different games, you will need to ensure that the “till” for each game gets $5 and the player gets $5 change.
Judgment: Players need to be 18 to buy games at the Pickle Bar. If someone doesn’t look 18, talk with the Pickle Bar Manager.
Talking to Strangers: Pickle Bar volunteers mingle with the players to sell additional game tickets so they don't have to leave their BINGO cards to buy more items from the Pickle Bar.
Verifying Wins: When players announce a BINGO, volunteers verify that the player has indeed won by reading the serial number and card code from the sheet, electronic device, or play card back to the Caller. If it is a valid win, you will pay out the win with cash from the Cashier - making sure to count their winnings back to them.
Honesty: Remember what you learned in kindergarten: don’t take what isn’t yours.
BINGO is a cash environment: all transactions at the Pickle Bar are in cash. Cash is gross. Use the hand sanitizer!
Have Fun: If it’s worth doing, it’s worth having fun while you’re doing it!
cashier
The cashiers welcome customers, sell BINGO cards, and answer questions about the games. Volunteers will be trained on operating cash registers and other electronics, accepting payments, ensuring all prices and quantities are accurate, and providing a receipt to every customer.
The cash registers are closed out at the end of the 2nd BINGO game every session. After the registers are closed, you will be asked to assist the lead cashier and bookkeeper in their duties. You may also be asked to help in the Pickle Bar or on the floor as needed.
