I know there has been a bit of talk over the past week in regards to NSW donor limits.
I just wanted to put in writing to the team the latest update from compliance.
Anyone who has donor gametes reserved or stored prior to the 1st of October can proceed with treatment and are exempt from NSW family limit change.
NSW has a 5 family limit and have also confirmed to us that this is 5 worldwide.
This does present a problem for us when importing international donor eggs and sperm as whilst we can confirm exclusivity in Australia, we don't know how many families have been created worldwide. Compliance and the donor team are looking into how we navigate this for future imports.
We did have a temporary pause on patients travelling interstate to access donor services, this has now been removed and we can book patients has normal to travel interstate for treatment.

The website hasn't been updated yet but the calendar is ready so if you do get any calls you can offer this location.

All initial appointments with the nurse are via telehealth.

Hi team,
As of today, please refrain from booking any new patients for First Step Fertility Lismore as this clinic is being closed as of 22nd Aug.
Marketing will be closing the online booking and location on the website today.
If we do have anyone who has booked before this is taken off, we will need to direct them to the Gold Coast clinic.
This will also be the same for any City patients, this is no longer a location.

"I just checked with Dr Tash; we do not want any gynae appointments booked online only Fertility appointments please. If they want gynae you can transfer to me or give our email.

So moving forward, if we receive a gynae appointment through the online booking system, we should call, txt, email pt, advising them that appointment is cancelled and we need to pass them over to Dr Natasha's rooms to change the appointment.
Make sure to cancel the online booking as they only want fertility appointments in there.

If a patient accidentally books as Gynae appointment using our online booking system please do not cancel this appointment.
Please follow the below steps.
Forward the booking to the Drs rooms to explain that this is a gynae appointment and the patient has accidentally booked online as a fertility appointment.
Ask the rooms if it is possible that they can amend the appointment to a gynae spot and open the fertility spot back up in the online calendar or provide an additional fertility spot in the calendar for patients to book.

Whilst we try and work through the issues in WA, where the GPs are not writing the referrals for patients to see one of our specialists, please do not amend any of the FSWA templates to say that the GP will send through the referral.

Just a reminder on what to do when processing online bookings.
For FSF Bookings, if the patient has answered the screening questions correctly but hasn't provided us with their partners full name or their date of birth is missing, still continue to try and obtain this but if we can not, just process as normal and notify the clinic when you send through the booking details.
If we are putting notes on the email in the inbox, this will not get picked up by anyone as we are not actioning work from the inbox.
We have had a few instances where patients have turned up at the clinic for an appointment but the clinic wasn't notified of the appointment and it wasn't added to the database calendar. When investigating we have tried to follow-up with the patient and have made a note on the email in the inbox but nothing further happened with it so it wasn't picked up and processed.

Helen Moonen would like to open up Tuesday mornings wef 12 August, on an ongoing basis. Note this is in addition to her Thursday sessions.
Please can you organise the following sessions and make available to FAC on the calendar.
Tuesdays: 9.00 – 12.00 and 13.00 – 15.00 (4 for am session, 2 for pm session).
Please prioritise going through any existing appointments with Claremont Specialists and add in GP appointment with Helen (minimum 6-7 weeks apart to enable patient to undertake bloods, scans etc).

Hi team,
If we receive a referral in RF that is addressed to a fertility specialist and mentions “thank you for seeing [patient name] for fertility preservation,” please contact the patient to clarify whether they wish to see a specialist or if they are just seeking a sperm freeze.
If the patient only requires a sperm freeze, kindly ask them to obtain a new referral addressed to the clinic, specifically stating “sperm freeze.”
If you're unable to reach the patient by phone, please send them a text message with the same request.
Please do not send the referral directly to the clinic without calling the patient.

This is still confidential so please don't discuss the reasons with patients or clinic staff but Dr Stafford will be leaving City Fertility.
If a patient specifically asks for Megan, just explain that she is not taking any new patient appointments at this stage.

From the 10/09/2025 every 4 weeks Dr Pontre will have 2 new patient appointment slots available 8.30am & 9.15am.
Every week for 3 weeks in a row on a Thursday starting from the 02/10/2025 Dr Pontre will have two new patient times slots at 1.30pm & 2.15pm.
