Friday (the day before race day):
8:00a.m. - 4:00p.m.
Race director picks up the key to the concessions building from the county, then meets volunteers at the start line area to go over the plan to mark the course. This includes taping off corridors and placing signs along the 12.5K route. We generally need 6-8 volunteers for this to go smoothly!
Concurrently, a small group of volunteers stuffs race packets prior to packet pickup.
5:30p.m. - 8:00p.m.
Usually held at Modicum Brewing, racers can pick up their race packets (including their bib, shirt, etc.) the day before the race, while getting a chance to mingle with other racers over a pint of delicious Modicum beer.
Saturday (race day):
6:00a.m.
Race director and other key volunteers arrive before dawn at Lowes Creek to set up the concessions building, start line, help vendors, and set up the audio/PA, as well as check over the course for any fallen tape or missing signage.
7:00a.m. - 7:45a.m.
Runners who have yet to register or pick up their packets do so at the concessions building near the start line. Course marshals, aid station volunteers, timers, and other key volunteer roles check in and sign out radios, then report to their positions. Race Director floats among volunteers to ensure all are coordinated before making announcements to participants before the race begins. Race-day registration ends at 7:45a.m. sharp, and last minute entries are entered into the timing system.
8:00a.m.
5K and Marathon racers start the 5K loop together. Timers keep track of 5K finishers, noting the Marathon runners that will continue onto the 12.5K course after finishing the 5K loop.
8:05a.m.
A course marshal will radio when the last 5K runner has passed through a specific part of their course so that tape can be drawn over the ski trail, clarifying the 12.5K loop is now the default, typically no later than five minutes after the start of the 5K.
All races using the 12.5K course start at 8:05a.m. in a mass start.
8:15-9:00a.m.
By 9:00a.m., all 5K runners should be finished and all runners should be off the 5K course. Course marshals will rearrange slightly to ensure coverage of the 12.5K loop only. A sweeper will check the 5K course to ensure there are no more runners and confirm with timers.
11:00a.m.
Race Director will confirm times and results with timers, and record category winners for the 5K. These winners will be announced over the PA and can collect their winner pins to be added to their finisher medals from the Race Director.
12:00p.m.
Race Director will confirm times and results with timers, and record category winners for the 12.5K. These winners will be announced over the PA and can collect their winner pins to be added to their finisher medals from the Race Director.
Race Director will make an announcement over the radios and PA for volunteers to get chili and take a lunch break. Aid station and course marshal volunteers will have shift changes that allow for lunches.
2:00p.m.
Race Director will confirm times and results with timers, and record category winners for the 12.5K. These winners will be announced over the PA and can collect their winner pins to be added to their finisher medals from the Race Director.
25K, Marathon, 50K and 50K winners will NOT be announced until the day after race day! These announcements will go out via email, will be posted to the results page on the website, and will be announced in the Chippewa Valley Trail Runners Facebook page. These winners can pick up their pins at Blue Ox Running, or request they be mailed.
3:00-5:00p.m.
Course sweepers will bike the course and dismiss course marshals as they are able. Following the last runner, the Race Director or a volunteer will drive the Gator and begin cleaning up tape and signage. Bikers, as available, will also help with course cleanup.
