Essex Ramblers are a local group within the Ramblers UK. Essex Ramblers run the Parish Paths Adopters (PPA) scheme.
This Privacy Policy, supplements Ramblers UK Privacy Policy, with which all Ramblers members should be familiar.
This privacy information explains how we use your personal data:
how it is is collected
how it is held
how it is processed
It also explains your rights under the law relating to your personal data.
Personal data is defined by the General Data Protection Regulation as any information relating to an identified person who can be directly identified from the data collected.
The PPA makes use of the Google Sheets system to store and process the data. In order to enter data into Google Sheets, Google requires a User to login with a Google Account.
A Google Account is essentially a name and an email address which can be used to identify someone as a unique individual. Google has their own Privacy Policy which you can read here.
For people who login to the PPA with their Google Account, the personal data that Essex Ramblers collect and use is:
Name
Email address
For people who don’t login to the PPA, we don't collect anything.
Note that people with a Google Account can easily find and manage their activity information saved in their account by following the Go to my account link.
Your personal data in the Parish Paths Adopters system will used for the following purposes:
to grant you access to Public Right of Way Data, which we source from Essex Highways and from OpenStreetMap
to display your name (not your email address) on the Parish Paths Adopters system, so that all other Adopters granted access to that system can see who has adopted which Parish
to give you a place where you can record the date you surveyed a Right of Way in your Parish, and what you can make a few notes as to what you found
Essex Ramblers will:
communicate with you regarding Public Right of Way matters in your adopted Parishes
on occasion to provide progress updates on the Parish Paths Adopters scheme
will read, aggregate and analyse all the data entered by all Adopters across Essex to track progress of the scheme
compare the data we gather from the PPA with data recorded in Essex County Council (ECC) systems, in order to assess the overall condition of the network, and to ensure that ECC are satisfactorily responding to all issues raised by Essex Ramblers members
NB if you are a District Coordinator, to display your name (only) on this website so that people wanting to volunteer to become Adopters can see who to make contact with (mote that they will likely also be members of Essex Ramblers, so they should easily be able to get your contact details through other means)
Essex Ramblers PPA Data is stored in Google Sheets, which are stored in a network of Google Data Centres around the world. (Our data is no longer stored in the EU).
Any member or Supporter of The Ramblers who wishes to become a Parish Paths Adopter can simply apply via the email on the website.
Your email will be forwarded to the District Coordinator for your area. (Most Volunteers and Coordinators will be in the same Ramblers area group, so it's appropriate that your local Coordinator is the one who checks that it's OK to assign you the Parish you requested, or suggest alternatives for you).
Once everyone's agreed on the Parish or Parishes you will adopt, you will be sent a confirmation email. It will provide a link to this Privacy notice, explain the sign up process, and request that you setup a Google Account. (You will need to give your consent to Google for that).
After you have set up your Google Account, you will need to let us know via email; by sending us that email, you will be giving us your consent to use the data specifically in the ways described on this page.
We will then grant you access to the Google Spreadsheet for your area/district (and possibly other spreadsheet areas as well if that was agreed).
Be advised that by signing up on the website, you are giving your consent for us to keep your personal data (name & email address) as confirmation of your application to be a PPA and copies of all email correspondence as an audit trail.
Under the GDPR you have the following rights:

the right to access the personal data Essex Ramblers hold about you
the right to have your personal data rectified if it is inaccurate or incomplete
the right to object to Essex Ramblers using your personal data for a particular purpose or purposes
the right to to data portability - you can ask for a copy of the personal data held by us
the right to leave the Parish Paths Adopters system, and to have your personal details removed
