Conference Inclusion Goals
designing a diverse structure of communication that allows for multiple learning and sharing platforms (e.g., lightning talks, think-pair-share, breakout groups, structured networking events, state-of-the-science talks meant for a general audience)
providing explicit instructions with examples for presenters to employ active learning and equity strategies for prompting participation
developing assessment instruments for participants so that you can adaptively adjust to our participants’ needs
using software to allow audience members to anonymously ask questions during talks
selecting panelists who reflect diverse backgrounds, cultures, sexualities, genders, races, etc., who may be willing and interested in communicating experiences that relate to audience members of diverse backgrounds
helping participants get to the meeting by providing free parking and transport, options for child care, and a space for breast-feeding mothers to pump
selecting meals that are primarily vegetarian, with options for those with allergies or food aversions
ensuring that conference facilities are accessible, have gender inclusive restrooms, and that all speakers use microphones—even if they think they are loud enough—to help with those who are hard of hearing
including a place for pronouns on nametags
asking permission to take photos—with respect to LGBTQ+ identities in particular, not everyone may have disclosed their identity publicly
making it clear to the audience that the meeting is a learning environment, what harassment policies are and where to report problems, and the expectations for inclusion in the meeting
designing activities to promote interactions between scientists at similar and different career stages
